What are the responsibilities and job description for the Administrative Assistant - Fire Division position at American Safety Services, Inc.?
SUMMARY DESCRIPTION
The Administrative Assistant for our Fire Division will be a flexible team player and may perform such duties as billing, dispatch, and logistics coordination.
ROLE AND RESPONSIBILITIES
- Key safety work orders and invoices for Supervisor and those reporting to them daily.
- Keep track of sales orders and research any that have not been invoiced.
- Fax, email, type letters as required by Supervisor.
- Research billing problems, issues etc.
- Take product orders from field personnel, customers, salespeople and forward appropriately to purchasing agent.
- Work with purchasing agent to let the field personnel, customers, and salespeople know the status of their order.
- Update as needed, safety compliance packages for all field offices company wide and ensure package is billed correctly and timely.
- Keep training attendance records, tests etc. for customers.
- Route new applicants or new hire packets to Supervisor as needed.
- Assist with the organization, preparation, and dispatch of jobs for the
Fire Division.
- Maintain organization in Fire Division office/workspace.
- Performs other duties as assigned by Supervisor.
QUALIFICATIONS AND EDUCATION REQUIREMENTS
- Proficiency in Microsoft Word, Excel, Outlook programs
- Strong multi-tasking skills
- Strong organizational skills
- Punctual, reliable, autonomous
- Professional verbal and communication skills
- Must be authorized to work in the U.S. for any employer.
- Demonstrates flexible and efficient time management and ability to prioritize workload.
- Oil industry or safety product knowledge is a plus.
- Possess a valid Driver’s License.

Job Type: Full-time
Pay: $17.00 - $19.00 per hour
