Position Summary
The Governance Coordinator plays a key administrative and coordination role in supporting the governance functions of ASSH, working closely with the CEO and Deputy Executive Vice President. This individual ensures that processes related to Council, Committees, and other volunteer leadership groups run smoothly and on schedule.
The ideal candidate is highly organized, self-motivated, and thrives in a fast-paced environment where attention to detail and responsiveness are essential. This role offers a unique opportunity to support the leadership of a prominent medical society and contribute to meaningful volunteer engagement and governance. As a small organization, this role reports to the Deputy Executive Vice President and requires the ability to work autonomously as this role is not part of a defined team.
Key Responsibilities
Governance Coordination
- Maintain the governance calendar, ensuring all processes and deadlines are met.
- Manage Council and Committee application processes, term renewals, and related communications.
- Support the Volunteer Leadership Committee and Nominations Committee during annual planning and selection processes.
- Coordinate the Young Leaders Program application and selection process.
Council & Committee Support
- Schedule meetings, communicate logistics, and provide administrative support to assigned committees.
- Prepare and distribute agendas, take detailed meeting minutes, track action items, and manage follow-up.
- Support the Council and Executive Committee, including preparing meeting materials, managing expenses, and compiling evaluations.
Event Support
- Collaborate with the ASSH President and Meetings Team to plan VIP events such as the President’s Dinner and Council Reception.
- Manage invitations, RSVPs, and dietary needs; ensure smooth communication with attendees.
Administrative Support
- Provide executive administrative support to the CEO and Deputy EVP, including calendar coordination, expense reporting, and document organization.
- Maintain historical records and support projects as needed.
Qualifications
Education & Experience
- Bachelor’s degree required.
- 1–2 years of relevant experience, preferably in a nonprofit or association setting.
- Familiarity with Microsoft Office Suite and Salesforce preferred.
Skills & Attributes
- Exceptional organizational skills and attention to detail.
- Strong written and verbal communication.
- Ability to manage multiple projects, prioritize effectively, and meet deadlines.
- Professionalism, discretion, and the ability to work independently.
- Flexibility to occasionally support meetings outside standard business hours.
Work Environment
- Hybrid work environment: two days per week in our Chicago office.
- Some evening meetings required to accommodate volunteer and committee schedules.
Travel Requirements
- Occasional travel (up to 5% annually) for meetings, events, or training.
