What are the responsibilities and job description for the Meeting Planner (Program Manager II Meetings and Events) position at American Society of Plastic Surgeons?
OVERVIEW
Responsible for the development, planning, and execution for all assigned meetings and events, included but not limited governance and advocacy meetings, educational symposia and workshops, staff and special events, and virtual programs.
Reports to: Director of Meetings & Events
Supervises: None
Location: Chicagoland Area (Hybrid)
Travel: 4-6x yr
WHAT YOU WILL DO
- Counsels and advises staff as needed in meeting and event development and planning, such as site selection, contract negotiations, budgeting, space configurations, logistical setups, established protocol and contractual obligations and risks.
- Coordinates the use of online tools to execute successful and cost-effective multi-delivery format (in-person/virtual/hybrid) symposia, workshops, and webinars.
- Manages training for staff and volunteers in the use of the web-based event tools, including rehearsal session, procedure manuals and tip sheets, and other support documentation for use in web event production.
- Provide complete and concise copy for registration materials and assist in marketing plans.
- Steer contract negotiations, in conjunction with Society leadership, and evaluations with third-party vendors, including audio-visual suppliers, general services contractors, security, caterers, telecommunications, and rigging companies and other vendors as needed. Ensure accurate billing from meeting service providers and resolve financial discrepancies; ensure payments are made in a timely manner.
- Develop timely and accurate communication with key stakeholders to include staff liaison, program chair(s), speakers, attendees and program coordinators.
- Manage pre-planning, onsite execution, and post-event wrap up logistics for assigned events, including but not limited to meeting function sheets and specifications, shipping and receiving, transportation, event production, décor, entertainment, photography and floral.
WHAT YOU WILL NEED
Education: Bachelor’s Degree
Experience: 3-5 years related experience
Certifications: Preferred that CMP (Certified Meeting Professional) designation be attained while in position

Annual Salary: $70-80,000
