What are the responsibilities and job description for the Associate Member Manager position at American Society of Transplantation?
The American Society of Transplantation (AST) is searching for an Associate Membership Manager to join our team. This person will be responsible for overseeing all daily membership operations. Membership Managers function as the liaison between an organization and its members. This full-time position reports to the Director of Membership and includes ensuring timely responses to membership inquiries, executing recruitment and retention campaigns, supporting committees, and providing membership reports and data analysis.
Routine responsibilities for this highly organized and detail-oriented individual will include:
Membership Recruitment & Retention
- Serving as first point of contact for members and prospective members
- Receiving and responding to member/prospective member calls, emails, and inquiries
- Ensuring membership database is accurate and current
- Managing the membership application process
- Providing regular membership list updates for AST meetings and publications
- Assisting Director of Membership with database updates, including workflow improvements and reporting needs
- Assisting with financial reconciliation reports specific for membership dues
- Assisting in design and implementation of marketing programs in collaboration with the Director of Membership and Director of Communications and Marketing to help drive the recruitment of new members as well as increase member engagement
- Working with the Director of Membership, managing the dues renewal billing process and implementing campaigns directed at maintaining a high retention rate
- Assisting in providing periodic membership reporting to the Board of Directors and leadership
- Manages the membership referral program, including tracking and managing related correspondence and prize distribution.
Program and Committee Management
- Overseeing and managing the Fellows of the American Society of Transplantation (FAST) program, including the annual review of new applicants.
- Serving as Liaison to the Fellows of the AST (FAST) Selection Committee
- Supporting Director of Membership with collection and reporting for the Conflict of Interest (COI) Committee
This position may have meetings or calls outside of normal work hours.
Other Responsibilities May Include
- Maintaining content related to member services and calendar of outside events on the AST website
- Travelling to annual meetings to assist with the membership booth and related functions
- Communicating to members, prospective members, and meeting attendees through blast emails, newsletter content, or website presence.
- Assisting with other projects as needed

Qualifications
- Baccalaureate’s degree preferred, Associate’s degree with two additional years of applicable experience accepted
- Two or more years applicable experience; association management or nonprofit volunteer management preferred
- Excellent written and oral communication skills
- Exceptional organizational skills
- Ability to prioritize and manage workload effectively
- Demonstrated skill in delivering excellent service to a diverse membership
- Advanced proficiencies with Microsoft Excel
- Experience with email marketing tools and Association Management Systems strongly preferred (Active Campaign and NimbleAMS experience a plus)
