Summary:
The OCPD Program Coordinator oversees the events and activities of a busy office that provides career and professional development services to over 1600 students and recent alumni. The Program Coordinator is the primary point of contact for visitors, phone calls, and emails and oversees all “front desk” operations. Event planning and promotion is a central function of this position. The Program Coordinator engages in marketing and communication across a range of media. The Program Coordinator manages CRM & technology systems coordination (student account maintenance, calendar management, letters of recommendation, and internal cloud collaboration) and oversees the day-to-day functioning of the office, including budgeting, maintaining equipment and décor, processing reimbursements, hiring student workers, and renewing subscriptions. The Program Coordinator will also assist with job postings, data gathering, OCPD’s formal recruitment programs, and be the main point of contact for reciprocity requests from AUWCL students and alumni and those from other law schools.
Essential Functions:
1.) Front Desk Operations Management
Oversee all “front desk” (in person and virtual) operations. This includes staffing the front desk, answering the telephone, coordinating front desk staffing to ensure coverage, and responding to inquiries from students, faculty, and employers via our “general” e-mail addresses.
2.) Event Planning and Coordination
Plan events for students, alumni, and employers.
Planning career-related panels, workshops, and presentations (including making room reservations, communicating with speakers, organizing catering).
Providing day-of support for events, organizing volunteers for practical skills trainings, coordinating the delivery of asynchronous content and materials.
Supporting recruiting events, collaborating with other WCL units and student groups, marketing of events, maintaining an event calendar, and collecting data regarding events.
3.) Communication and Marketing Outreach
Deliver written and verbal communication to students, faculty, employers, and staff regarding OCPD activities and jobs.
Drafting communications and marketing in all media and across all platforms including newsletters, social media, email, video, and in person.
4.) Career Services Systems Management and Technical Support
Manage career services information and collaboration systems.
Provide technical support and assistance for all community members with career services systems such as CareerLink and OSCAR.
Manage uploading of letters of recommendation to OSCAR.
Manage reciprocity with other schools.
Oversee job mining and posting functions.
Build and maintain office manuals.
Manage internal information sharing platforms, such as cloud storage.
5.) Office Management and Administrative Support
Manage the day-to-day operations of the office.
Supporting the Assistant Dean in budgeting and monitoring expenses, planning staff travel, processing reimbursements, managing subscriptions, ordering supplies, maintaining the library, ensuring accessibility, maintaining equipment and office décor, and managing the office calendar.
6.) Supervision and Scheduling of Office Support Staff
Supervise student workers and coordinate schedules for other office support staff.
Hiring Dean’s Fellows or graduate assistants and temporary workers and ensuring coverage of the front desk and other essential tasks during breaks or leaves.
7.) Additional Responsibilities
Supporting the Assistant Dean and other duties as required.

Full-Time.
35 hours per week.

Some evening and weekend work required.
Salary Range:
$27.47 - $31.32 per hour.
Required Education and Experience:
Bachelor’s degree or equivalent.
1-3 years of relevant experience.
Experience in customer service or student support required.
Excellent communication and interpersonal skills required.
Outstanding managerial and organizational skills, with a high level of attention to detail required.
Eagerness to work with diverse constituencies required.
Proficiency with Microsoft Office Suite and ability to learn to use CRM, website, social media and other communications software required.
Event planning experience required.
Preferred Education and Experience
2-4 years of relevant experience.
