We are seeking a dedicated and detail-oriented Dispatcher to oversee a fleet of buses and medical vans. The ideal candidate will be responsible for coordinating transportation services, managing schedules, and ensuring efficient communication with drivers, customers, and staff. The role requires the ability to handle a high volume of phone calls and emails, while maintaining excellent organizational skills. Basic proficiency in Spanish is also required to communicate effectively with a diverse range of individuals.

Key Responsibilities:

  • Oversee the daily operations of a fleet of buses and medical vans.
  • Coordinate transportation schedules and dispatch vehicles in a timely and efficient manner.
  • Answer a high volume of incoming phone calls and emails, responding to inquiries, and addressing issues or concerns promptly.
  • Maintain accurate records of trips, routes, and schedules using Microsoft Excel and other software tools.
  • Communicate effectively with drivers to ensure safe and timely transportation.
  • Work closely with the operations team to address any service disruptions or emergencies.
  • Provide excellent customer service, handling any inquiries or complaints from passengers in a professional manner.
  • Monitor vehicle and driver performance to ensure compliance with company policies and safety standards.
  • Assist with administrative tasks, including scheduling, tracking, and reporting.
  • Utilize Microsoft Outlook for internal and external communication.

Required Skills and Qualifications:

  • High school diploma or equivalent; additional education in logistics or a related field is a plus.
  • Proven experience in a dispatch or customer service role, preferably in transportation or fleet management.
  • Strong experience with Microsoft Excel (advanced skills such as creating and managing spreadsheets, data entry, etc.).
  • Proficiency in Microsoft Outlook for managing emails and scheduling.
  • Strong communication skills, both verbal and written.
  • Ability to manage high volumes of phone calls and emails in a fast-paced environment.
  • Basic knowledge of Spanish for effective communication with diverse passengers and staff.
  • Ability to multi-task and stay organized while working under pressure.
  • Strong problem-solving and critical-thinking skills.
  • Must be punctual, reliable, and demonstrate a professional demeanor.
