Legal Operations Specialist
Location: 1916 Black River Blvd, Rome, NY 13440
Hourly Range- $16.78-$20.98 per hour, actual hourly rate will depend on experience.
Status: Full-Time
Remote Status: Onsite for initial training and then potential for a hybrid schedule.

The Position:
Consistent with the credit union mission of building connections and providing our members the right financial services to live life, dream big and achieve financial success, the Legal Operations Specialist will:
- Respond to legal requests for information including, but not limited to, IRS Levies, Court Subpoenas (both criminal and civil), investigations by federal, state, and local police forces, investigations by government regulators, estate paperwork, and other formal third-party legal requests.
- Assist with information retention systems by scanning, indexing, transferring and processing documents designated for digital storage in an accurate and timely manner.
- Retrieve documents and other information for internal parties upon request.
- Assist Legal Operations Manager in the collection of Third-Party Risk Management Documents.
- Assist Legal Operations Manager with various legal operation/imaging initiatives as required.
What you will do:
As a Legal Operations Specialist your primary responsibilities will include:
- Under supervision, executes the credit union’s document retention and destruction schedules.
- Under supervision, receives and processes levies and other orders from government entities such as the Internal Revenue Service or Courts that require accounts to be frozen, funds to be disbursed, or information to be provided, including by applying and releasing account holds and disbursing funds from member accounts. With assistance from immediate supervisor, is able to explain to others in the credit union what is required of the credit union and maintain response timelines.
- Under supervision, receives and responds to subpoenas from government entities involved in federal and state criminal investigations and prosecutions or regulatory investigations, including maintaining confidences related to the same. With assistance from immediate supervisor, is able to explain to others in the credit union what is required of the credit union and maintain response timelines.
- Under supervision, receives and responds to subpoenas from third parties involved in civil lawsuits who are seeking records from the credit union, while independently ensuring applicable privacy rules are followed. With assistance from immediate supervisor, is able to explain to others in the credit union what is required of the credit union and maintain response timelines.
- Under supervision, receives and respond to instructions from outside attorneys and/or executors of estates regarding their clients’ accounts, including processing and closing accounts of deceased members, or processing and closing accounts held in trust. With assistance from immediate supervisor, is able to explain to others in the credit union what is required of the credit union and maintain response timelines.
- Identifies potential disputes with outside parties related to information retention and brings them to the legal department’s management so they can be addressed.
- Receives paper records from all areas of the credit union and scans into electronic document repository.
- Receives and responds to research requests for records from all areas of the credit union.
- Receives and sorts external and internal mail at credit union’s headquarters.
- Receives, reviews, and uploads any third-party vendor due diligence correspondence as directed.
