Job Summary :
This position provides full administrative support to the President by applying a clear understanding of the AmeriGas business and organizational priorities to ensure the President is properly prepared and briefed for the events of the day. The Executive Assistant will proactively attend to requests coming into the President from customers and other stakeholders with an appropriate level of attention.
The Executive Assistant must proactively anticipate the needs of the President, and interface with all levels of executives, administrative staff and general management to gather information as needed to complete assignments. The overall demeanor should be calm, professional, warm and approachable.
Additional responsibilities may include back-up to the Executive Assistant to the CFO of UGI, with items pertaining to the Valley Forge office, as needed.
Duties and Responsibilities (Essential Functions):
- Maintain a warm and welcoming environment by displaying professional demeanor to visitors, customers, co-workers and employees
- Analyze data and issues in order to understand the business impact, develop solutions and respond with appropriate actions
- Arrange travel schedule and reservations; prepare trip folders with appropriate documents and itineraries and ensure timely submission of expense reports.
- Prepares presentations and meeting materials for use in Board of Directors meeting, business/operation reviews, town-halls and other meeting formats.
- Coordinate details of offsite meetings, conferences etc.
- Maintains appointment schedules and coordinates meetings including conference calls. Proactively monitor email inboxes.
- Provide support for the AmeriGas Quarterly Disclosure checklists and the annual 10K questionnaire.
- Monitor emails and phone calls from customers, and escalate them to the Customer Advocacy team as appropriate.
Knowledge, Skills, and Abilities:
- Ability to work independently, handle multiple tasks simultaneously and manage one’s time appropriately given ever changing priorities.
- Demonstrate the ability to act in a professional yet warm manner and maintain competency in a fast paced, demanding work environment
- Must have initiatives and decision making skills with the ability to make judgement calls to determine the correct action or approach in non-routine assignments and projects
- Ability to research critical business information in a timely fashion (internet, through internal experts, etc.)
- Knowledge of business and management principles
- Excellent written and verbal communication skills; highly refined ability to use discretion with regards to confidential information
- Ability to identify complex problems and review related information to develop appropriate solutions
- Advanced skills and expertise with MS Office Suite, including extensive calendar management.
Education:
- Bachelor’s Degree preferred or a combination of education.
- 5 years’ experience as an EA at the VP or above level.
