Robert MacDonald and Associates, a private wealth advisory practice of Ameriprise Financial Services, is seeking a full time Receptionist to join our innovative and dynamic team. Step into an instrumental role and help conduct the smooth operation of a fast-paced—and friendly—financial planning office. This role is a good fit for someone who desires to learn the industry of personal financial services through a 35 year advisor’s practice focused on comprehensive financial planning with individuals and small businesses.
This position supports the many different tasks for which the practice is responsible and ties directly to the overall business plan of the practice. The Receptionist allows the team the assurance they need to know that the practice is being maintained and supported within Ameriprise Financial guidelines.
This role provides administrative support by scheduling meetings, preparing client communications, tracking business correspondence and providing exceptionally friendly, helpful, high-quality customer service through phone, digital and in-person interactions with clients.
This role is responsible for responding to ad hoc requests, coordinating/tracking projects and/or managing business-as-usual projects such as filing, copying, researching printer problems, and/or organizing the logistics of a client seminar.
Responsibilities:
- Manage front desk operations, including greeting visitors and answering phone systems
- Perform clerical duties such as filing, data entry, and maintaining office supplies
- Scheduling appointments and manage calendars for team members
- Answer calls, check group voicemail box, respond to voicemails in a professional and warm manner
- Respond to any missed client contacts on the same day, or next morning
- Document client contacts/calls
- Conduct client appointment reminder calls and check-in calls on follow up items
- Provide client support by addressing inquiries and resolving issues promptly
- Maintain organized records and files to facilitate easy access to information
- Support other administrative tasks as assigned by management
- Maintain office cleanliness and organization of resources with team members
- Assist the planning assistant, paraplanner, and advisor
- Perform other allowable duties as assigned by the financial advisor
