Position Description:
Step into an instrumental role. Help conduct the smooth operation of a fast-paced—and friendly—financial planning office. Work as an employee of an independent advisor franchisee with a private wealth advisory practice of Ameriprise Financial. Assist in daily business operations.
The administrative assistant supports the many different tasks for which the practice is responsible and ties directly to the overall business plan of the practice. The administrative assistant allows the advisors the assurance they need to know that the practice is being maintained and supported within Ameriprise Financial guidelines.
Responsibilities and time allocation will change over time to meet the needs of the practice and can include other duties as assigned by the advisor.
- Answer phones and greet clients in professional and courteous manner
- Manage and resolve client service issues including calls with clients, corporate office, and outside vendors
- Prepare, scan, and process client paperwork
- Schedule appointments and prepare for client meetings
- Provide detailed notes and documentation in Contact Management System (Salesforce)
- Prepare correspondence
- Handle advisor and office needs proactively
- Maintain office supplies and manage inventory
- Conduct client reminder calls and check-in calls on follow-up items
- Additional duties as needed
Qualifications:
- 1 year experience of similar work experience in a professional office environment; financial services industry preferred
- Pleasant, professional manner with excellent interpersonal skills
- Highly organized, accurate, and attentive to detail
- Strong problem-solving skills
- Highly proficient in Microsoft Office including Excel, Word, and Outlook
- Experience with Salesforce preferred
- Ability to adhere to rules and regulations as stated and required by the advisors and Ameriprise Financial
