Robert MacDonald and Associates, a private wealth advisory practice of Ameriprise Financial Services, is seeking a Client Service Associate to join our innovative and dynamic team. Step into an instrumental role and help conduct the smooth operation of a fast-paced—and friendly—financial planning office. The Client Service Associate position helps to conduct the smooth operation of a fast-paced and friendly private wealth advisory practice and assists in the daily business operations by managing client contact and services to ensure client satisfaction. This role is a good fit for someone who desires to learn the industry of personal financial services through a 35 year advisor’s practice focused on comprehensive financial planning with individuals and small businesses.
This position supports the many different tasks for which the practice is responsible and ties directly to the overall business plan of the practice. This position will consistently follow high standards of business and professional ethics and legal and regulatory requirements when dealing with others and/or performing work activities. This role provides client relationship support through interacting directly with clients to ensure accurate account set up and through acting as a liaison to answer client questions. The role will also perform other practice management tasks relating to client service as needed. Responds to ad hoc requests, coordinates/tracks projects and/or manages business-as-usual projects such as organizing a client seminar.
Responsibilities:
- Develop a working understanding of important topics in advice delivery such as retirement readiness, goal tracking, workplace benefit review, employee stock ownership, insurance projections, savings strategies for goal achievement, among others.
- Assist advisor(s) in preparing client meetings for clients as assigned. This includes meeting presentations/agendas, as well as relevant materials such as reports, illustrations, brochures, new business paperwork, etc.
- Complete all follow up documentation from client meetings, including entering new data received into financial planning tools and client relationship management tool (Salesforce/CRM).
- Ensure new business paperwork is submitted efficiently which includes preparation of forms and documentation for submission to home office, acquisition of appropriate signatures, tracking of new insurance applications and coordination of rollovers.
- Utilizes the tools and resources developed by Ameriprise Financial LLC for optimal practice effectiveness and efficiency, leading to a superior client experience.
- Assists clients with engaging with Ameriprise technology.
- Displays willingness to learn all compliance regulations consistent with applicable law and Broker Dealer requirements, as it pertains to the financial services industry.
- Perform other allowable duties as assigned by the financial advisor
Key Traits of a Successful Administrative Assistant:
- Strong computer and software skills. An understanding of Microsoft Office and Salesforce/CRM is highly preferred.
- Strong client service and interpersonal skills for building long term client relationships.
- Detail-oriented, organized, strong math, and analytical skills.
- Effective communication with clients and other advisors/staff
- Effective and efficient time management
- Polite and clear phone manner
- Ability to multi-task
- Ability to adhere to rules and regulations as stated and required by advisor and Ameriprise
- Ability to support and provide guidance for compliance within the advisor’s practice
- Positive attitude and sincere willingness to constantly learn and grow
Education and Other Designations:
- College degree or higher
- Already have been or willing to study for and pass exams for federal and state licenses and resignations for securities including Series 7, Series 66, and State life, accident and health insurance licenses
Full time position
Pay Range: $55,000-$70,000 un-registered, $65,000-$80,000 registered
