We are looking for an experienced candidate with expertise in delivering quality and efficient customer service to patients and caregivers. The role entails overseeing a team of service coordinators through daily management, including training, coaching, problem-solving, and recognition, to ensure the team performs effectively and efficiently.
Job description
· Proven experience in office management
· Excellent organizational and multitasking skills
· Maintain all staff and contract personnel files.
· Maintain master files of personnel evaluations and makes copies, on monthly basis, for the appropriate department supervisor
· Ensure all information regarding clients and employees is documented thoroughly in accordance with company policy.
· Greet people as they enter the Agency, answers calls, answers general information questions, screens visitors and delivers messages.
· Do all necessary copying and all necessary filing.
· Use Sandata Software to monitor missed visits, verify Electronic Visit Verification (EVV), and address any issues.
· Manage and maintain the daily, weekly, and monthly schedules for clients and caregivers.
· Communicate effectively with caregivers, clients, and their families to ensure smooth delivery of care services.
· Monitor schedule changes and update caregiver and clients as necessary.
· Get a full report from the supervisor on staffing and services expected.
· Give the supervisor a weekly report off all in office and on-call activities.
· Validate caregiver hours worked, routing appropriately for payroll processing.
· Check compliance of visits done (on master schedule) after all notes are matched to charges, brings any scheduling problems to the supervisor's attention immediately
· Come to weekly staff meetings prepared to discuss Caregiver issues or concerns, Client issues or concerns, Staffing needs/concerns/challenges, and Clean up caregiver and Client census (weekly)
· Perform other duties as assigned by the Supervisor, CM or Administrator.
POSITION QUALIFICATION
· High school diploma/GED required, Associate’s degree or administrative training is preferred
· Experience as a coordinator or office manager, preferably in the health field.
· One to two years of recruiting experience in Home Care
· Position is stressful in terms of meeting deadlines.
· It is primarily a desk job, which essentially involves sitting, standing, stooping, and walking, as well as an inordinate amount of telephone communication
· Proficiency with Sandata software preferred.
· Excellent verbal and written communication skills.
· Advanced computer skills in business-related applications
· Excellent interpersonal skills with the ability to manage sensitive and confidential situations with tact, professionalism, and diplomacy.
· Excellent organizational skills and attention to detail.
· Proficient with Microsoft Office Suite or related software.
· Proficient with or the ability to quickly learn office management, human resource information system (HRIS), and similar computer applications
Job Type: Full-time
Pay: $18.00 - $21.00 per hour
Expected hours: 40.00 per week
