Receptionist/Administrative Assistant for Assisted Living Community
Description of Position
Serves as first point of contact for all callers and visitors. Provides support by performing a wide variety of clerical and administrative duties pertinent to the type of establishment. Coordinates office services; manages mailing lists and contact lists, handles phone communication, filing, copying, faxing, computer data input, and any other duties given by management.
Qualifications for the Position
In order to carry out the responsibilities of this position, the individual must be able to multi-task in a productive manner, ability to answer phone calls while completing their daily tasks, must have the ability to operate computers and other office equipment communicate effectively, must be detailed, efficient and proficient in all job duties. Must maintain the highest level of confidentiality with regards to employees, client and all other business matters.
Responsibilities of the Receptionist as appropriate and assigned:
- Answer a multi-line telephone system, give information to callers or routes calls to appropriate personnel, collect and distribute messages.
- Greet walk-in guests, staff, residents and their families/guests with respect and professionalism at all times.
- Stay updated regarding current and ongoing status of managers, employees and specific situations, maintaining the ability to update other staff members or managers as directed.
- Use computer to compile, store and retrieve information for maintenance of client and personnel records.
- File management of correspondence and other records.
- Maintain inventory of and order resource information, office and educational supplies, and other supplies as needed.
- Works with the Office Assistant on projects and other duties as needed requested by owner and other managers.
