Executive Administrator

This individual will be responsible for collaborating with and providing personalized administrative support to a team of performance psychologists and
support staff. The candidate must be flexible to meet the demands of our growing organization.

Executive Administrator Responsibilities:
• Managing the day-to-day calendars, including scheduling client engagements and appointments and prioritizing the most sensitive matters
• Communicating directly with clients on scheduling engagements/ meetings and coordinating workflow and deliverables to execute agreements
• Managing monthly billing through QuickBooks, including working with clients on PO processes and invoicing for payment
• Managing light accounting and bookkeeping duties including reimbursement processing and communication with accounting firm
• Providing executive administrative assistance, such as writing and editing emails, preparing PowerPoint slide decks, drafting memos and preparing communications on the team’s behalf
• Organizing office meetings, including scheduling, sending reminders and organizing catering when necessary
• Maintaining comprehensive and accurate corporate records, documents, and reports
• Coordinating travel arrangements (both domestic and international) and creating trip itineraries
• Managing day to day office needs including ordering office supplies, being the point person for maintenance, IT, landlord, mailing, shipping, and supplies; office errands; office birthdays
• Managing minor HR responsibilities including but not limited to: onboarding/offboarding employees and PTO tracking
• Answering incoming phone calls in a polite and professional manner and accurately taking messages
• Greeting and welcoming visitors and clients
• Other duties as assigned by leadership
Preferred experience, knowledge, skills, and abilities:
• 2-3 years of administrative assistant experience
• Proficient in Microsoft Office Suite and QuickBooks
• Skilled in the use of standard office equipment (e.g., copiers, business telephone systems, etc.)
• Time management skills and ability to meet deadlines
• Excellent verbal and written communication skills
• Strong organizational skills and ability to multitask
• Problem-solving and decision-making skills
• Ability to act as gatekeeper and escalate relevant information to executives as needed
• Ability to work effectively with minimal supervision
• Strong interpersonal skills
• Ability to treat confidential information with appropriate discretion
• Exceptional attention to detail
