Job Description
Our client is seeking an experienced Legal Administrative Assistant to join our prominent law firm specializing in general litigation. The ideal candidate will provide administrative and clerical support to attorneys and paralegals, assisting with the day-to-day operations of the litigation team. The position requires excellent organizational skills, attention to detail, and the ability to handle multiple tasks in a fast-paced environment. While experience in general litigation is essential, medical malpractice experience is a plus. This role offers the opportunity to contribute to a dynamic team and assist with a variety of legal matters.
Key Responsibilities
Administrative Support:
- Provide comprehensive administrative support to attorneys and legal staff by managing calendars, scheduling meetings, and organizing appointments.
- Draft, proofread, and prepare legal documents such as pleadings, correspondence, discovery responses, and other necessary filings.
- Organize and maintain physical and electronic case files, ensuring all documents are accurately filed and easily accessible.
- Prepare and manage attorney travel arrangements, including bookings and itineraries for depositions, hearings, and trials.
- Assist in the preparation of trial binders, exhibits, and discovery materials.
Case Management
- Assist with managing case workflows, tracking deadlines, and ensuring the timely filing of documents in compliance with court rules.
- Organize and index documents, exhibits, and medical records (especially for medical malpractice cases, if applicable).
- Maintain and update client contact information and case files.
- Prepare and send legal documents, including subpoenas, requests for production, and discovery items.
Client & Vendor Interaction
- Serve as a point of contact for clients, opposing counsel, and external vendors (e.g., court reporters, expert witnesses, medical professionals), coordinating communications as needed.
- Handle client inquiries and provide updates on case status, ensuring timely and professional communication.
- Assist in the scheduling of depositions, hearings, and meetings with clients and witnesses.
Research & Documentation
- Conduct basic research on case law, statutes, and other legal resources to assist attorneys.
- Prepare summaries of documents, depositions, and medical records (especially relevant in medical malpractice cases).
- Draft and prepare internal memoranda and reports for attorneys.
Qualifications
- Minimum of 3-5 years of experience as a Legal Administrative Assistant or Legal Secretary, preferably in general litigation.
- Medical malpractice experience is a plus, but not required.
Salary : $50,000 - $55,000
