SUMMARY OF DUTIES:

This position is responsible for the management of the Law department’s business services function and staff, including submission and oversight of the department’s Annual Operating Plan (AOP), management of all vendor financial transactions, including outside counsel firms, development of business services policies, processes and protocols; utilization of business services resources available within the Law department, and all Law department office management/administration.


ESSENTIAL FUNCTIONS:

  • Leads a team of business specialists in the engagement, budget tracking, and invoice/billing review of the Law Department’s external vendors, including outside counsel, surveillance firms and other vendors/contractors.
  • Develops Law Department outside counsel policies and related internal protocols, including vendor engagement processes.
  • Assists in-house counsel on RFPs for legal services.
  • Prepares financial reports for Sr. Manager, Business Services and other senior Law department staff and practice area deputies on Law department spend.
  • Responsible for e-billing issue resolution in Law’s matter management system.
  • Primary POC for outside counsel for all matter management system e-billing modules.
  • Assists Sr. Manager, Business Services in the development of the Annual Operating Plan and collaborates with Finance and Accounting department on monthly review/planning meetings.
  • Oversees the office administration function including all staff onboarding activities, office space planning, training, etc.

MINIMUM QUALIFICATIONS:

The successful candidate for this position must have:
  • Bachelor’s Degree (or equivalent work experience).
  • Experience developing and managing a large departmental budget.
  • Minimum 5 years working at a law firm or in a corporate environment in an administrator/financial role.
  • Strong interpersonal, written, and verbal communications skills.
  • Strong organizational skills and the ability to work under pressure, meet deadlines, and able to work independently and as a part of a team to prioritize responsibilities, take initiative and self-motivate/self-manage work and time.
  • Experience developing and managing a departmental budget.
  • Expertise with Microsoft Excel, and Proficiency in other Microsoft Office Suite Applications.

PREFERRED QUALIFICATIONS:

  • Demonstrated management supervisory skills.
  • Experience working in a law firm or corporal law office.

  • Constantly or frequently uses a computer keyboard and monitor to perform a variety of tasks, e.g., create and review documents, analyze information, e-mail, spreadsheets, etc.
  • Frequently performs tasks that require sitting for extended periods of time.
  • Occasionally performs tasks that require standing and/or walking for extended periods of time.

  • Communicates, comprehends, and responds to verbal statements and instructions, both orally and in writing.
  • Frequently learns new knowledge, skills, and tasks, both complex and simple, to maintain effectiveness in position.
  • Frequently resolves problems with conflicting priorities in cognitively demanding situations.
  • Frequently reads and analyzes hard copy and or computer screen material and writes reports as appropriate.
  • Conducts in person and/or telephone dialogues as appropriate to manage and conduct the flow of work.


Working Conditions:

  • Constantly works in a demanding environment with frequently changing priorities.
  • Frequently works in crisis situations, requiring fast, long-reaching decisions based on incomplete information.


COMMUNICATIONS AND INTERPERSONAL SKILLS:

Must have excellent oral and written communication skills.


The salary/hourly range is $102,660-$133,050. Pay is based on several factors including but not limited to education, work experience, certifications, etc. Depending on an employee’s assigned worksite or location, Amtrak may consider a geo-pay differential to be applied to the employee’s base salary. Amtrak may offer additional incentive and pay programs to recognize and reward our employees, including a short-term incentive bonus based upon factors such as individual and company performance that is commensurate with the level of the position and/or long-term incentive plan compensation. In accordance with DOT regulations (49 CFR § 40.25), Amtrak is required to obtain prior drug and alcohol testing records for applicants/employees intending to perform safety-sensitive duties for covered Department of Transportation positions. If an applicant/employee refuses to provide written consent for Amtrak to obtain these records, the individual will not be permitted to perform safety-sensitive functions.


In accordance with federal law governing security checks of covered individuals for public transportation ( Title 6 U.S.C. § 1143), Amtrak is required to screen applicants for any permanent or interim disqualifying criminal offenses.
