The Coordinator, Facilities and Project Support will work with a team that manages approximately a half million square feet of class. A office space across 15 global offices with approximately 1,500 employees. The Coordinator will assist with a variety of projects and will support the Senior Facilities Manager in monitoring after hours emergency response. This role will be involved in all phases of projects including feasibility, design and construction and will interact with a variety of levels of staff as well as designers, contractors, project managers and other consultants. The coordinator may also oversee projects completed by internal staff.

Project Support

Essential Job Functions and Responsibilities:

  • Work with the Sr. Manager, Space and Facilities Planning, to assist with the coordination of projects at all stages from scope, budget, schedule, planning/programming, detailed design, construction execution, commissioning, and close-out.
  • Assist with the coordination of project administrative and documentation items with a focus on tracking and processing all invoices, Tenant Improvement (TI) reimbursement, and Project Closeout.
  • Assist with tasks such as reviewing architect drawings for accuracy, thoroughness, review RFI requests, track consultant responses to RFI’s, review shop drawings for accuracy, and review of onsite conditions.
  • Maintain project schedules. Work closely with project teams to monitor performance against target schedule. Report and implement corrective actions against nonconformances.
  • Prepare written project updates, status reports and presentations; maintain planning documents and other files.
  • Utilize AutoCAD and CAFM systems to review plans and create seating layouts as needed.
  • Participate in and assist with final occupancy and move related components of projects.
  • Participate in problem-solving requiring analysis and complex decision-making.
  • Assist with the development of firmwide standards including furniture and coordination of asset inventory.
  • Promote and assure continuous improvement; establish and maintain productive relationships with a full range of personnel that reflect a strong commitment to customer service.

Facilities Support

  • Assist with coordinating the scope, schedule, and budget for facilities capital maintenance and repair activities, including administrative submission and management of capital funding requests and invoice payment.
  • Respond to and support after-hours facilities related emergencies and/or issues, as needed
  • Assist with continuous improvement of maintenance and repair processes, policies and procedures, and standard operating procedures
  • Maintain vendor relations, establishing quality, safety, and delivery expectations. Coordinating resources for repair and maintenance activities
  • Assist with quality control for all facilities maintenance, repair, and security activities
  • Act as a backup for the system administrator of the maintenance management system

Qualifications

  • Bachelor’s degree preferred. Degree or concentration in facilities management, space planning, architecture, interior design, and/or project management preferred.
  • 3 years of substantive relevant experience preferred.
  • Experience in the capital projects field assisting or overseeing projects and space planning preferred.
  • Experience in professional services or institutional setting preferred.
  • Working familiarity with architecture, engineering, and design principles, building systems, and construction practices and the ability to apply this knowledge to complex problems. Must be able to read plans and communicate graphically.
  • Ability to effectively manage and coordinate the work of consultants, contractors and others connected with this work. Special attention to efficiency of the time of oneself and others is critical.
  • Proven ability to gauge priorities and deliver to the appropriate scale.
  • Ability to work independently and allocate resources consistent with department goals while maintaining a transparent work style.
  • Demonstrated excellent oral and written communication skills and a customer service focus both for task driven correspondence and high-level summary and upward reporting.
  • Strong capability with Excel, AutoCAD, PDF editors such as Adobe or Bluebeam, and Outlook Mail and Calendar.
  • Confident analytical ability with respect to numerical and financial processing.
  • Previous experience with owner/occupier facility management software (CAFM) such as Centerstone a plus.
  • Familiarity and know-how with PowerPoint, Microsoft Project, SharePoint, Teams, Power BI, Revit, PM tools such as ProCore or e-Builder, and construction scheduling systems will be viewed favorably.
  • Demonstrated ability and comfort level to access any portion of a construction/facility site.
  • Flexible, personable, collaborative, and team oriented. Focused organizational mindset and rational thinker. A problem solver and excellent communicator. Able to work with all levels of colleagues and external vendors.

OTHER: Ability to access most areas of construction sites including climbing ladders to assess conditions and perform inspections of existing facilities is required. Travel is expected during active projects.
