About the Role:
We are a fast-growing startup, supporting small businesses in the construction field looking for a full-time Client Account Manager & Office Administrator to handle the day-to-day administrative and operational needs of our clients. This role is ideal for someone who can manage multiple tasks efficiently, build strong client relationships, and oversee administrative processes with minimal supervision.
Key Responsibilities:
Client Administration & Relationship Management:
• Onboard new clients, collect and organize business data, and maintain strong client relationships.
• Manage and track client tasks, ensuring timely follow-ups and updates.
• Conduct research on licenses, payments, insurance, and regulations.
• Collect and organize leads, assist with proposals, and track approvals.
• Oversee financial transactions (invoices, advance payments, collections).
• Maintain client accounts, document income/expenses, and track commissions.
• Handle client email accounts, ensuring prompt responses and secure access.
• Implement tailored business plans and track key client deadlines.
• Prepare weekly client reports on financials, challenges, and progress.
• Collaborate with vendors and professionals for seamless operations.
• Participate in weekly management meetings, providing updates and action plans.
Operations & Administrative Support:
• Assist the Operations Manager with research, process improvements, and company administration.
• Conduct market research on industry trends, vendors, and best practices.
• Organize and track company documents, deadlines, and operational priorities.
Office Management:
• Oversee office administration (invoices, payments, rent, procurement).
• Maintain office organization, cleanliness, and overall presentation.
