Position Overview
We are seeking a highly organized and proactive Part-Time Office Manager and Medical Biller to support our team. This role combines administrative oversight, medical billing, client communication, and digital engagement to ensure smooth operations and a positive client experience. The position is mostly virtual or hybrid, with occasional in-office requirements, and is capped at 15 hours per week. You will report directly to Kara Kazemba, LCSW.
Key Responsibilities
Office Management
- Manage emails, phone communication, and client correspondence.
- Assist with the client intake process, acting as a gatekeeper and resource for clients and team members.
- Maintain efficient office operations and organizational systems.
- Oversee and engage in social media content creation and management, ensuring alignment with Ancora Wellness's mission and values.
- Support marketing efforts through content development and digital engagement.
Medical Billing and Financial Coordination
- Process medical claims accurately and on time.
- Invoice clients for copays, deductibles, and outstanding balances.
- Verify insurance eligibility and benefits for clients.
- Communicate effectively with patients, insurance companies, and healthcare providers regarding billing inquiries.
- Engage in patient-facing communication to discuss billing, payment plans, and insurance coverage.
- Utilize phone systems to communicate with patients and insurance representatives efficiently.
- Maintain accurate and confidential records of billing and payments.
- Participate in team management activities to foster a collaborative work environment.
Schedule Requirements
- While the position offers flexibility, some working hours must be scheduled between 9:00 AM and 5:00 PM to facilitate patient communication and interactions with insurance providers.
Qualifications
- Prior experience in office management, medical billing, or a similar administrative role.
- Strong organizational and multitasking skills.
- Excellent communication skills, both written and verbal.
- Familiarity with medical billing software and processes is strongly preferred.
- Familiarity with office software applications, including electronic health records (EHR) systems.
- Comfortable with patient-facing communication regarding billing and insurance matters.
- Proficiency in email and social media management tools including but not limited to: Google Suite, MetaBusiness, Instagram, Facebook, LinkedIn, and Canva.
- Ability to maintain confidentiality and uphold a trauma-informed, inclusive approach to client care.
Compensation and Benefits
- Hourly Rate: Starting at $23.80/hour.
- Benefits include Accident/ICU coverage, paid training opportunities, a 401k through OregonSaves, and Family Leave through the State of Oregon.
