Job Purpose:

The Operations Manager will play a pivotal role in enhancing the firm’s operational efficiency, implementing technology-driven solutions, and ensuring that our service delivery aligns with the highest standards of client satisfaction. This on-site position requires a seasoned professional who can seamlessly integrate Salesforce CRM into our operations, design and automate workflows, and manage the reporting and tracking of performance metrics. The Operations Manager will be responsible for interfacing with our main client and meeting the operating requirements set by the firm’s managing partner, ensuring that our subscription-based services are delivered effectively and efficiently.
Key Responsibilities:
- Salesforce CRM Implementation and Management:
- Lead the implementation and customization of Salesforce CRM to meet the firm’s specific needs in estate planning, non-profit, and tax law.
- Ensure the seamless integration of Salesforce with existing systems, including billing, document management, and client communication platforms.
- Provide training and support to staff on Salesforce usage, ensuring high adoption rates and efficient use of the system.
- Process Design and Workflow Automation:
- Design and implement standardized workflows within Salesforce to streamline operations and reduce manual tasks.
- Develop automation tools within Salesforce to manage repetitive tasks such as client follow-ups, document generation, and subscription renewals.
- Regularly review and refine processes to adapt to evolving business needs and client expectations.
- Performance Tracking and Reporting:
- Establish and track key performance indicators (KPIs) related to client satisfaction, operational efficiency, and financial performance.
- Generate regular reports on client engagement, subscription metrics, and overall firm performance, providing actionable insights to the managing partner and senior attorneys.
- Analyse data from Salesforce to identify trends and opportunities for operational improvements.
- Client Interface and Relationship Management:
- Serve as the primary operational point of contact for the firm’s main client, Anderson Business Advisors, ensuring their operational needs are met and that services are delivered in alignment with their expectations.
- Monitor client satisfaction and develop strategies to enhance the client experience.
- Oversee the operational delivery of legal services, ensuring timely, accurate, and high-quality service.
- Operational Leadership:
- Work closely with the firm’s managing partner and supervising attorney to develop and execute operational strategies that support growth and client service goals.
- Manage resources, including non-legal personnel, technology, and budgets, to ensure the efficient operation of the firm.
- Ensure all operational activities comply with relevant legal and regulatory requirements.
- Vendor and Contract Management:
- Negotiate and manage contracts with vendors, ensuring cost-effective and quality services.
- Compliance and Risk Management:
- Ensure compliance with all regulatory requirements and internal policies.
- Develop and maintain risk management strategies and business continuity plans.
Required Qualifications:
- Experience: Minimum of 2-5 years of experience in operations management with a strong background in implementing and managing CRM systems, preferably Salesforce, within a professional services firm.
- CRM Expertise: Extensive experience in Salesforce CRM, including customization, workflow automation, and system integration.
- Process Design: Proven ability to design and implement efficient workflows and automate processes within a CRM environment.
- Client Management: Strong experience in managing client relationships, particularly in a B2C legal services context.
- Data Analysis: Proficiency in data analysis, KPI development, and generating insightful reports to drive business decisions.
- Leadership Skills: Demonstrated leadership abilities with a track record of managing teams and resources effectively in the context of a professional services firm.
- Operational Acumen: Deep understanding of operational management principles, particularly within a subscription-based service model.
- Location: Willingness to work on-site in Draper, Utah.
Preferred Qualifications:
- Legal Industry Experience: Experience working in a law firm, particularly in the area of estate planning, non-profit, or tax law.
- Project Management Certification: PMP or similar certification.
- Technology Integration: Experience in integrating multiple technology platforms to support business operations.
- Customer Service Excellence: A strong focus on client service and experience in improving customer satisfaction in a legal or professional services environment.
- Risk Management: Experience in developing and implementing risk management strategies within a professional services firm.

- Operational Efficiency: Timeliness and accuracy of implementing operational frameworks and process improvements.
- Salesforce Utilization: Effective use and optimization of Salesforce CRM to support business needs.
- Client Satisfaction: Measured by client feedback and service delivery quality.
