Job Summary: This position is responsible for performing a variety of clerical duties for Pod staff and physicians.
Primary Job Responsibilities:
- Greets, screens, schedules, and directs patients to exam rooms.
- Performs clerical duties related to clinical services including medical transcription, composition, and dictation in a medical group.
- Prepares and processes correspondence. Answers routine medical administrative inquiries and drafts letters for physicians and other clinical staff.
- Performs medical receptionist duties as necessary. Answers telephone, screens calls, takes messages, and provides information.
- Obtains, verifies, and updates patient information and provides support services to patients and medical staff.
- Requests, locates, sends, and receives patient medical records.
- Maintains medical appointment books for patients, meetings, travel, etc.
- Arranges meetings for clinical staff.
- Prepares clinical services organizational charts and timetables. Assists with the preparation of agendas, materials, notes, etc.
- Attends meetings, takes and distributes minutes.
- Maintains files and assists in establishing office systems.
- Orders office and clinical supplies. Assists in the care and maintenance of office equipment.
- Performs other duties as assigned.
Requirements
Education: High school diploma or general equivalency diploma (GED). Diploma as a medical administrative assistant from an accredited medical vocational course preferred.
Experience: Minimum two years of administrative assistant experience in a medical office setting.
Other Requirements: Medical administrative specialist certification preferred from American Medical Technologists.
Performance Requirements:
Knowledge:
- Knowledge of medical terminology and office procedures.
- Knowledge of grammar, spelling, and punctuation to type from draft copy and review and edit reports and correspondence.
- Knowledge of basic arithmetic to make calculations, balance and reconcile figures, and make changes accurately.
Skills:
- Skill in operating office equipment.
- Skill in organizational matters including time management, prioritization, and multitasking.
- Skill in writing and communicating effectively.
- Skill in problem-solving.
Abilities:
- Ability to type 60 words per minute using word-processing software. Able to learn/use other computer programs including Microsoft® Excel, e-mail, Internet, and Microsoft® PowerPoint.
- Ability to read, understand, and follow oral and written instructions.
- Ability to sort and file materials correctly using alphabetic or numeric systems.
- Ability to communicate clearly and concisely.
- Ability to establish and maintain effective working relationships with patients, physicians and other clinical staff, and the public.
- Ability to competently use Microsoft Office, including Word, PowerPoint, Excel, and appropriate practice management software.
Equipment Operated: Office machinery including computers, fax, dictating machine, calculator, and photocopier.
Work Environment: Medical office, well lighted, well ventilated. Work may be stressful due to a busy office. Involves frequent contact with staff and patients.
Physical Requirements: Must possess the physical and mental abilities to perform the tasks normally associated with a Medical Administrative Assistants such as manual dexterity to operate office machines including computer and calculator; stooping, bending to handle files and supplies, mobility to complete errands or deliveries, or sitting for extended periods of time. Stress can be triggered by multiple staff demands and deadlines.
