What are the responsibilities and job description for the Office Manager/Graphics Specialist position at Anderson CRG?
Marketing/Fliers
Create & update fliers as needed
Take photos of new listings and catalog in paper & digital file
Access demographics on property and include in marketing materials
Create or adapt mapping for each property flier
Update broker email list regularly to ensure marketing emails are sent regularly and are effective
Create and find advertising opportunities to increase exposure of Anderson CRG
Add listings to Loopnet accurately & update as needed including flier
Advertise smaller properties on KSL.com
Listings/Filing
Keep all listings current with renewal and expansions
Keep listing spreadsheet with updated action items
Organize files from past deals, current deals, listings and failed deals; Create digital & paper files
Create lease expiration spreadsheet; remind officers of lease expiration dates
Accounting AR/AP
Keep checking accounts balanced and know balance at any given time
Ensure agents and outside brokers are paid timely
Pay all bill/invoices as they come in
Review and code credit card expenses monthly
Coordinate with accountant and see to it that annual taxes are paid for all entities
Create invoice & bill commissions accurately & adjust as necessary
Follow-up on unpaid invoices and account for all fully paid
Pay all vendors in timely manner
Keep all subscription services up to date and paid in a timely manner
Annually
Submit all deals to Costar for Power Broker deals and for comps
Retrieve W-9 from all payees in the year and forward to accountant
Submit final payroll numbers to accountant so 1099 can be generated
Anderson CRG summary of accounting so taxes can be estimated for upcoming year
Keep up to date records on closed deals
Send bank statements, credit card statements, and spreadsheet for tax prep
Client Research/Data
Do thorough research of identified areas to help determine market viability, MSA population
Find and map-identify specific retailers for area viability analysis
Create maps
Find traffic counts and include in maps
Compile and print multiples of tour books as needed
Other
Make travel arrangements for officers
Create mock-ups and order signs for all listings
Retrieve mail daily & process accordingly
Keep current addresses for all vendors, customers, etc. for future gifts, thank you’s, Christmas cards
Write handwritten thank you cards to selected customer after deals are closed
Copy & add and label keys to company key box
Keep copier maintenance agreement up to date and manage need for supplies
Keep office fully supplied with all necessary supplies, banking materials to keep office running
Ensure website is up to date and manage and optimize exposure
Back up files regularly on all computers
Keep network and software functioning
Keep all LLC, business licenses, real estate licenses current and paid before expiration & due date
Keep any memberships current i.e. ICSC, etc.
Job Type: Full-time
Pay: $19.00 - $22.00 per hour
