We are looking for a highly organized and proactive Office Manager to join our growing team and ensure the smooth operation of our office.
Position Overview
The Office Manager will oversee the daily administrative functions of the office, support company leadership, and ensure team efficiency. This role is critical to maintaining organization, compliance, and the overall workflow of the business.
Key Responsibilities
- Office Operations: Oversee day-to-day office activities to ensure functionality and efficiency. Manage office supplies, vendor relationships, and equipment maintenance. Serve as the point of contact for IT, utilities, and other service providers.
- Administrative Support: Provide direct support to leadership, including calendar management, email coordination, and project organization. Prepare reports, documents, and presentations as needed. Handle incoming calls, emails, and correspondence, ensuring prompt responses and follow-up.
- Team Coordination: Act as a liaison between departments to ensure effective communication. Schedule and coordinate team meetings, events, and training sessions. Maintain employee files and assist with onboarding new hires.
- Compliance and Recordkeeping: Ensure compliance with company policies and local regulations. Maintain accurate records for transactions, contracts, and other key documents. Assist with basic bookkeeping tasks, including managing budgets and processing invoices.
- Culture and Environment: Foster a positive and productive office culture. Proactively address team needs and identify ways to improve office morale and efficiency.
Requirements
- Proven experience as an office manager, administrative assistant, or similar role (experience in real estate preferred).
- Excellent organizational and multitasking skills.
- Strong written and verbal communication abilities.
- Proficiency in Microsoft Office Suite, Google Workspace, and basic CRM systems.
- Knowledge of real estate operations, contracts, or processes is a plus.
- Self-starter with a proactive attitude and ability to work independently.
Compensation
- 30 hours a week, 9AM-3PM daily schedule.
- Competitive salary based on experience.
