Position Purpose:
This position provides support to the Event Management team to ensure the successful planning & execution of all AWM & Charis Bible College home, internal, hosted & away events. This position will also provide support to the Conferences Event team as directed by the Director of Event Planning.
Essential Duties:
- Schedule ops and team debrief meetings per event in advance using a timeline
- Manage Conference email inbox
- Prepare and distribute team and operational meeting documents and agendas
- Take detailed operational meeting notes and distribute them to attendees
- Be able to effectively track details for multiple events simultaneously using professional software such as SharePoint, Smartsheet, Monday.com, and other project management tools and update the Event Managers
- Provide onsite support to the Event Management team during events
- Create and edit event-related documents and submit requests to other teams
- Get quotes and schedule outside vendors as needed for events; create proposals
- Liaison with the Administrative Assistant to the Senior Director of Conference and Events for quote payments
- Review the Event SharePoint page daily, update as needed, and inform the Event Management team of missing information
- Oversee GTC venue contract research and negotiations
- Ensure new events are added to the C&E SharePoint folder structure
- Monitor event registration page live dates and track deadlines
- Review event registration pages for accuracy and connect with Marketing for revisions
- Assist in reviewing ministry-wide event information for accuracy and connect with Marketing for necessary revisions
- Create a staff assignment spreadsheet for the department for all home events
- Prepare post-event reports and send them out to all teams involved
- Assist in reviewing Marketing assets for accuracy/approval
- Liaison between Marketing regarding promotions and assets
- Attend Event Management meetings, take detailed notes, and send them to all attendees
- Submit and monitor event webpage requests/revisions
- Participate in team meetings, leadership training, and ongoing professional development
- Manage Student Assistant/Intern’ hours, responsibilities, training, and scheduling
- Other tasks as assigned
Qualifications
Knowledge, Skills, and Abilities:
- Excellent verbal and written communication skills
- High attention to detail and time management
- High-level of confidentiality is expected
- Excellent computer skills
- Self-directed and self-motivated with good judgment skills
- Ability to prioritize tasks, delegate when necessary, and change direction quickly
- Strong problem-solving skills- identifies and resolves problems in a timely manner and gathers and analyzes information skillfully
- Must work well with others and work well under pressure
- Must work well with others, be able to delegate, and work well under pressure.
- Must be able to effectively operate Windows-based computer and navigate Microsoft Office Suite
- Must be familiar with or able to learn Monday.com (Ministry-wide project management software)
Requirements:
- Must have a personal relationship with Jesus Christ
- Must sign the Statement of Faith
- A high school diploma or equivalent education is required
- Charis Bible College student or graduate is preferred
- Must be able to work some evenings and weekends
- Must be able to move up to 50lbs and work all day while standing
- Must pass all required checks
Experience:
- Experience with project management is a plus but not required
- Event experience preferred but not required
- Minimum 6 months of administrative office experience required
- Compensation is commensurate with experience
