Acts as Administrative Assistant to the Program Coordinator for the Department of Accounting, Economics and Finance (AEF).

Periodic
Education and/or Experience
A four year degree is required. Completion of a master’s degree is a plus. Three to four years of previous office experience is required. Office management experience in a university setting is a plus.
Judgement
Work is varied with limited supervision. Makes decisions in advising students and faculty on SBA policy, responding to correspondence for the dean. Mature judgement required. Represents the dean in the office during his/her absence.
Communication Skills
Composes letters and correspondence that are grammatically correct and numerically accurate. Speaks effectively to groups of students, customers or employees. Interacts successfully with people from diverse cultures. Has frequent visitors from outside and within the organization.
Mathematical Skills
Calculates amounts such as discounts, rebates, proportions, percentages, financial projections, cost savings. Precision and accuracy with all things numerical is essential.
Reasoning Ability
Solves practical problems and deals with situations where only limited standardization exists. Interprets a variety of instructions furnished in written, oral, diagram, or schedule form.

Duties and responsibilities
Regular- Manages all office functions (phone, mail, email, voicemail) in the AEF suite.
- Greets visitors, determines their needs, and directs them to the appropriate personnel.
- Frequently instructs and answers questions from faculty, staff, and students regarding academic and financial processes and policies.
- Composes letters and prepares spreadsheets and other documents for the Program Coordinator.
- Creates and maintains computer- and paper-based filing and organization systems for records, reports, and other documents. Organizes files, develops spreadsheets, and scans documents for electronic filing.
- Provides support as needed to the Dean's Administrative Assistant and to the Operations & Maketing coordinator.
Periodic
- Replenishes copy machine paper/toner and staples. (weekly/twice per year)
- Drafts meeting agendas, prepares materials, and takes minutes for AEF faculty meetings and sub-committees. (monthly)
- Collects and maintains current syllabi for all classes taught in the AEF and forward them to the Executive Assistant to the Dean of the School of Business. (each semester)
- Submits documents such as minutes from committee meetings, syllabi, etc. to the Executive Assistant to the Dean of the School of Business. (each semester)
