Job Overview
The Administrative Assistant provides administrative support to the Residential department at Andrus. This role serves to assist the residential team and interacts with all aspects of the organization, including children, staff members, business associates, and various community members.
Essential Duties
Key duties of this position include, but are not limited to, the following:
- Provides support to Residential team including calendar management, note taking, purchasing and other departmental commitments, ensuring appropriate follow-up.
- Maintains a clear & well-organized filing system, ensuring all files are maintained, organized, and completed.
- Assists in receiving, screening, organizing, disseminating, and assuring responses for all incoming correspondence by mail, phone, and electronic means to ensure smooth day-to-day operations.
- Provide support to assigned committees or events, including arranging and handling logistics for meeting or event, scheduling, drafting agendas, compiling and distributing materials, as well as recording meeting minutes.
- Manages the purchasing process for assigned department, ensuring completion of purchasing requests and reconciliation of credit card monthly.
- Attend meetings, work on various projects, provide information/documentation as needed, and arranging agency-related conferences, travel and accommodations.
- Leads special projects and other duties as assigned by Director of Residential or VP & Chief Program Officer.
Essential Qualifications
Key qualifications include:
- High School Diploma required with at least 1 year experience as Administrative Assistant; willing to train right person.
- Must be proficient in Microsoft Office, including Outlook, Word, Excel, Power Point and Adobe Acrobat; Canva is a plus; Ability to learn additional software/programs a must.
- Demonstrated ability to appropriately interact and communicate with individuals at all levels of the organization, including executive leadership, staff, people supported, board members, business associates, and various community members.
- Strong verbal and written communication skills w/ability to assist with phone coverage and taking meeting minutes.
- Experience with managing correspondence, scheduling management, and special projects; this position will sit on various committees including the Events committee.
- Must have a high level of interpersonal and customer service skills to handle sensitive and confidential situations; position continually requires demonstrated poise and tact.
- Will work as a team with other Administrative and Executive Assistants, providing coverage in their absence.
- Outstanding organizational and follow-up/follow-through skills.
Physical/Travel Requirements
An employee in this class must be able to sit, stand, walk, see, climb stairs, and carry up to 30 lbs. The employee must be able to meet these requirements with or without reasonable accommodation.
Employee will work on-site in Yonkers. Employee must work independently and be flexible in their schedule when needed for meetings and events.
