Job Overview
The Medical Records Specialist will assist the legal team by promptly and accurately ordering, retrieving, filing and disseminating the medical records in a timely and organized manner.
We are seeking a detail-oriented and organized Medical Records Specialist to join our team. In this role, you will be responsible for managing and maintaining medical records with a focus on accuracy and confidentiality. You will play a crucial part in ensuring that all records are up-to-date and compliant.
Responsibilities
- Submit HIPAA compliant requests to medical providers on a daily basis.
- Follow-up with medical providers on a daily basis to promptly and accurately retrieve medical records.
- Submit and document payments for all invoices in regard to medical record retrieval; and reconcile the monthly credit card statements.
- Enter medical charges in the CMS for clients’ treatment with providers.
- Maintain and organize client medical records, ensuring accuracy and confidentiality.
- Review and verify the completeness of records, making necessary corrections as needed.
- Retrieve and prepare medical records for client files as requested.
- Assist in the implementation of new record management systems or processes.
- Ensure compliance with legal, regulatory, and organizational standards regarding medical records.
- Train staff on proper record management practices as needed.
Skills
- Ability to maintain confidentiality and handle sensitive information appropriately.
- Proficient in using computer software applications related to record keeping.
- Strong communication skills, both verbal and written, for effective interaction with legal teams
- Must build and maintain relationships with medical providers and their third-party copy services.
- Must be reliable and extremely trustworthy,
- Excellent organizational skills and attention to detail.
- Ability to maintain confidential and meticulous records.
- Proficient with Microsoft Office Suite or related software.
