Key Responsibilities
- Oversee and direct daily dispatch operations, ensuring timely execution of delivery schedules and optimal resource utilization.
- Supervise, train, and support dispatch personnel, enforcing performance standards and promoting a culture of operational excellence.
- Monitor and manage employee scheduling, shift coverage, and time-off requests to ensure adequate staffing levels at all times.
- Ensure accurate entry and tracking of PTO requests, verifying that all absences are properly documented and communicated.
- Pull and analyze call logs, dispatch data, and system reports to identify trends, optimize performance, and address operational gaps.
- Compile and distribute routine reporting on key dispatch metrics, driver activity, response times, service outcomes, and compliance adherence.
- Enforce adherence to DOT regulations, company safety policies, and all applicable transportation laws.
- Investigate and resolve claims involving cargo loss/damage, accidents, and service disputes in coordination with internal departments and external partners.
- Coordinate with operations, customer service, and drivers to maintain clear communication, minimize service disruptions, and ensure client satisfaction.
- Recommend and implement continuous improvements in dispatch procedures, personnel coverage, and reporting accuracy.
- High school diploma or equivalent required; associate or bachelor’s degree in logistics, transportation, or business preferred.
- Minimum of 2 years’ experience in dispatch or fleet coordination within OTR trucking or heavy hauling; supervisory experience preferred.
- Demonstrated knowledge of DOT compliance, safety standards, and claims processing in a transportation setting.
- Proficient in the use of dispatch software, GPS tracking systems, and Microsoft Office, particularly Excel for reporting.
- Experience managing scheduling, coverage, and personnel availability in a 24/7 or dynamic operational environment.
- Strong reporting and analytical skills, with the ability to extract actionable insights from operational data.
- Excellent communication, organizational, and problem-solving abilities.
