Overview
We are seeking a dedicated and detail-oriented Office Assistant to join our team long term. The ideal candidate will play a crucial role in supporting daily office operations, ensuring that our administrative functions run smoothly and efficiently. This position requires strong organizational skills, excellent customer service abilities, and proficiency in various office management tasks. The Office Assistant will be the first point of contact for clients and visitors, making a positive impression essential. Again, we are only looking for someone that is interested in a long term position.
Responsibilities
- Manage front desk operations, greeting visitors and directing them appropriately.
- Answer phone calls using multi-line phone systems, taking messages and providing information as needed.
- Perform clerical duties including filing, data entry, and maintaining organized records.
- Assist with scheduling appointments and managing calendars for team members.
- Provide exceptional customer service to clients, addressing inquiries and resolving issues promptly.
- Support office management tasks such as ordering supplies and maintaining inventory levels.
- Collaborate with team members to ensure efficient workflow and communication within the office.
- Maintain confidentiality of sensitive information while handling various administrative tasks.
Qualifications
- Proven experience in office management or as a medical receptionist is preferred.
- Strong organizational skills with the ability to multitask effectively in a fast-paced environment.
- Excellent customer service skills with a friendly demeanor when interacting with clients and colleagues.
- Familiarity with phone systems and basic office equipment is essential.
- Proficient computer literacy, including knowledge of Microsoft Office Suite or similar software applications.
- Previous experience in clerical roles or as a personal assistant is a must.
- Ability to work independently as well as part of a team, demonstrating flexibility and adaptability to changing priorities.
- This is a school setting with children ages 2-adults in dance and music lessons.

Must be flexible if we need you to work another shift every once in a while. However, you would not go over 40 hours a week.
