Job Summary:
The Assistant Event Coordinator will play a key role in the planning, organization, and execution of various events. This position is ideal for a highly organized and detail-oriented individual with a passion for event management. You will assist in coordinating all aspects of events, from logistics and vendor management to guest communication and on-site support, ensuring a seamless and memorable experience for clients and attendees.
Key Responsibilities:

Event Planning Support:
- Assist in the development of event concepts, themes, and schedules.
- Coordinate with clients to gather event requirements and preferences.
- Help create event timelines, checklists, and project plans.

Vendor and Venue Coordination:
- Research and liaise with vendors (catering, audio-visual, décor, etc.) to gather quotes and negotiate contracts.
- Assist in venue selection and manage communication with venue staff.
- Coordinate delivery and setup of event equipment and décor items.

Marketing and Communication:
- Assist in creating event promotional materials, including social media content, email campaigns, and flyers.
- Communicate event details to attendees, speakers, and stakeholders.
- Respond to inquiries and provide exceptional customer service.

On-Site Event Support:
- Assist with the setup, execution, and breakdown of events.
- Serve as a point of contact for vendors, staff, and attendees during events.
- Monitor event activities to ensure compliance with timelines and resolve any issues promptly.

Administrative Tasks:
- Maintain detailed event files, documents, and budgets.
- Track and report on event expenses and assist with financial reconciliations.
- Conduct post-event evaluations and assist in compiling feedback for future improvements.
Qualifications:
- Strong organizational and multitasking skills with attention to detail.
- Excellent communication and interpersonal skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and event management software (e.g., Cvent, Eventbrite).
- Ability to work flexible hours, including evenings and weekends, as needed.
