Job Summary:

The Assistant Event Coordinator will play a key role in the planning, organization, and execution of various events. This position is ideal for a highly organized and detail-oriented individual with a passion for event management. You will assist in coordinating all aspects of events, from logistics and vendor management to guest communication and on-site support, ensuring a seamless and memorable experience for clients and attendees.


Key Responsibilities:

  • Event Planning Support:

    • Assist in the development of event concepts, themes, and schedules.
    • Coordinate with clients to gather event requirements and preferences.
    • Help create event timelines, checklists, and project plans.
  • Vendor and Venue Coordination:

    • Research and liaise with vendors (catering, audio-visual, décor, etc.) to gather quotes and negotiate contracts.
    • Assist in venue selection and manage communication with venue staff.
    • Coordinate delivery and setup of event equipment and décor items.
  • Marketing and Communication:

    • Assist in creating event promotional materials, including social media content, email campaigns, and flyers.
    • Communicate event details to attendees, speakers, and stakeholders.
    • Respond to inquiries and provide exceptional customer service.
  • On-Site Event Support:

    • Assist with the setup, execution, and breakdown of events.
    • Serve as a point of contact for vendors, staff, and attendees during events.
    • Monitor event activities to ensure compliance with timelines and resolve any issues promptly.
  • Administrative Tasks:

    • Maintain detailed event files, documents, and budgets.
    • Track and report on event expenses and assist with financial reconciliations.
    • Conduct post-event evaluations and assist in compiling feedback for future improvements.

Qualifications:

  • Strong organizational and multitasking skills with attention to detail.
  • Excellent communication and interpersonal skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and event management software (e.g., Cvent, Eventbrite).
  • Ability to work flexible hours, including evenings and weekends, as needed.
  • Problem-solving skills and the ability to work under pressure.

Salary : $18 - $25
