Job Title : Assistant Event Coordinator

Reports To : Event Coordinator

Position Overview :

The Assistant Event Coordinator supports the planning, organization, and execution of events, ensuring they run smoothly and meet client expectations. This role involves collaborating with vendors, managing logistics, and providing exceptional customer service to deliver memorable experiences.

Key Responsibilities :

Event Planning Support :

Assist in developing event concepts, timelines, and budgets.

  • Research and recommend venues, vendors, and suppliers.
  • Prepare and distribute event materials, such as schedules, invitations, and promotional content.

Client and Stakeholder Communication :

Serve as a point of contact for clients, addressing questions and concerns.

  • Communicate event details and updates to stakeholders and team members.
  • Collect and incorporate client feedback to improve future events.
  • On-Site Event Support :

    Assist with registration, guest management, and troubleshooting during events.

  • Monitor event progress and resolve issues as they arise.
  • Ensure high standards of service and professionalism.
  • Post-Event Activities :

    Support post-event evaluations, including gathering feedback and preparing reports.

  • Maintain accurate records of expenses and other event-related documentation.
  • Qualifications :

  • Strong organizational and multitasking abilities.
  • Excellent written and verbal communication skills.
  • Attention to detail and problem-solving mindset.
  • Proficiency in event management software and tools (e.g., Microsoft Office, CRM systems).
