Job Summary :
We are seeking a reliable, outgoing, and detail-oriented Office Assistant with 1-3 years of medical experience and knowledge of medical terminology to support our daily administrative operations. The ideal candidate will handle clerical tasks, assist with office organization, and provide general support to ensure smooth office functions. This role will also involve occasional community outreach and errands as needed.
Responsibilities :
Answer and direct phone calls, emails, and other communications
Maintain organized filing systems (both physical and digital)
Assist with data entry, document preparation, and report generation
Order and manage office supplies and inventory
Handle incoming and outgoing mail / packages
Support scheduling of meetings and appointments
Assist with basic bookkeeping or expense tracking as needed
Greet and assist visitors in a professional and friendly manner
Utilize medical terminology to assist with administrative tasks
Handle medical records, appointment scheduling, and related documentation
Go out into the community for various work-related tasks, such as delivering documents, attending local events, or coordinating with vendors
Perform other administrative duties as assigned
Requirements :
High school diploma or equivalent; additional education is a plus
1-3 years of experience in a medical office or healthcare setting
Familiarity with medical terminology and basic healthcare procedures
Previous experience in an administrative or clerical role preferred
Proficiency in Microsoft Office (Word, Excel, Outlook) and Google Suite
Strong organizational and multitasking skills
Excellent written and verbal communication skills
Outgoing and personable with strong customer service skills
Reliable transportation to travel within the community as needed
Ability to work independently and as part of a team
Attention to detail and ability to prioritize tasks
