We are currently seeking an Administrative Manager to join our dedicated team and ensure the smooth operation of our office and services.
Job Summary:
The Administrative Manager will oversee the administrative operations of the funeral home, manage office staff, coordinate scheduling and client communications, and ensure accurate record-keeping. This role requires a high level of organization, excellent communication skills, and the ability to work in a sensitive and compassionate environment.
Key Responsibilities:
- Oversee daily office operations and manage office staff to ensure efficient service delivery.
- Provide administrative support to funeral directors and other team members.
- Maintain accurate records for clients, including funeral arrangements, contracts, and legal documentation.
- Coordinate and schedule funeral services, viewings, and related activities.
- Handle phone calls, emails, and walk-in clients with professionalism and empathy.
- Process billing, payments, and insurance claims in a timely manner.
- Manage inventory of funeral supplies and materials.
- Maintain compliance with all regulatory requirements related to funeral services.
- Assist in the preparation and filing of all necessary paperwork and documentation.
- Maintain confidentiality and handle sensitive information with discretion.
- Provide excellent customer service to grieving families and their loved ones.
Qualifications:
- High school diploma or equivalent; associate or bachelor’s degree preferred.
- Two years of previous office management experience, ideally in a funeral home, healthcare, or customer service environment.
- Valid Driver License.
- Strong organizational and multitasking skills.
- Compassionate and empathetic nature when interacting with grieving families.
- Proficient in Microsoft Office Suite (Word, Excel, Outlook) and office management software.
- Ability to maintain composure in a fast-paced and emotionally charged environment.
- Knowledge of funeral industry regulations and procedures is a plus.
- Excellent verbal and written communication skills.
- Knowledge of EDR Programs, Insurance and EFT Life Insurance preferred.
- Bilingual preferred.
