Job Description: We are seeking a motivated, friendly, and detail-oriented individual to join our team as a Client Care Coordinator at our New Castle location. This role will work directly with the Practice Manager to assist in managing our office, supporting our clients, and helping to keep our clinicians organized. The ideal candidate will have excellent interpersonal skills, a passion for helping others, and the ability to thrive in a dynamic and fast-paced environment.
Key Responsibilities:
- Client Care & Communication: Screen, engage, and schedule potential clients with appropriate therapists based on specialty and credentialing parameters. Respond to client and clinician concerns, answer phone calls/emails, fax confidential documents, and track referrals.
- Electronic Health Record (EHR) Management: Enter, scan, and update data/information into the electronic record system. Respond to external record requests.
- Insurance/Medical Billing: Complete insurance verifications and cost estimates for clients. Assist with insurance claim billing, investigate and resolve errors, obtain missing billing information, and interact frequently with insurance companies.
- Accounting Support: Enter payments, mail patient billing statements, and follow up with clients regarding outstanding balances as needed.
- Office Management: Maintain office supplies, perform incidental cleaning, and manage files.
- Additional Duties: Perform related duties as assigned.
Salary and Benefits:

- Part-time position with 25-30 hours per week, with the possibility of transitioning to full-time based on needs, candidate talents, and motivation levels for growth.
- Work hours: Monday & Thursday 12 PM-6 PM, Tuesday/Wednesday/Friday with flexible start/end times of 9 AM or later.
- Competitive wages based on qualifications, skills, and work history. Potential for wage increase based on performance after 90 days.
- Full-time employees are eligible for Medical, Dental, and Vision benefits after 90 days.
Required Qualifications:
- Excellent interpersonal skills and comfort in communicating with new people and those in distress with compassion, patience, understanding, and encouragement.
- Ability to develop positive relationships with co-workers, referral sources, and external agencies.
- Ability to set and maintain healthy boundaries, protect client confidentiality, and adhere to HIPAA standards.
- Excellent organizational and time management skills.
- Confidence to work independently and openness to constructive feedback.
- Strong problem-solving skills and the ability to think on your feet.
- Tech-savvy with proficiency in learning new EMR systems, video conferencing, Office Suite, social media, PDF software, etc.
- Proficiency in using and managing multiple Excel spreadsheets and dashboards daily.
- Comfort with therapy animals on premises.
- Ability to pass criminal history and child abuse clearances.
- Valid driver's license.
Highly Preferred Qualifications:
- Medical billing experience.
- Experience in a mental health setting.
