What are the responsibilities and job description for the Events, Marketing and Operations Coordinator position at Angola Area Chamber of Commerce?
Purpose:
The Administrative and Marketing Coordinator provides administrative, clerical, event planning, and marketing support to the Executive Director to further the mission and goals of the Angola Area Chamber of Commerce.
Key Responsibilities:
Office Administration:
- Maintain accurate and up-to-date membership databases and backups, including platforms such as Constant Contact, Chamber Nation CRM, and website databases.
- Update and manage the Chamber website, including the calendar, cottage rental listings, Smart Buy listings, committee rosters, Board of Directors details, membership dues and benefits, and other dynamic information.
- Assign new members their login credentials and provide instructions for maintaining their member profiles.
- Maintain organized file systems, both digital and physical.
- Manage office inventory, including postal and mail supplies.
Communications & Marketing:
- Collaborate with the Executive Director to create, edit, and proof promotional materials, including membership packets, event marketing materials, newsletters, social media content, and the annual membership directory.
- Oversee website management and ensure timely and accurate updates.
- Consistently engage with Chamber members by promoting their events, milestones, and exclusive offers.
- Handle all inquiries, including phone calls, emails, written correspondence, and in-person requests, ensuring timely responses.
- Support and maintain the Smart Buy member-to-member deals program by engaging participants and encouraging new member involvement.
Event Coordination:
- Oversee planning and logistics for events such as the Ebbie Awards Banquet, Golf Outing, Toboggan Challenge, Festive Auction, Winter Wonderland, and monthly business gatherings.
- Oversee event registrations and prepare administrative tasks, such as creating schedules, managing communications, and preparing nametags.
- Coordinate ribbon cuttings, grand openings, collaborative events, and Meet the Candidates forums.
Board & Committee Support:
- Collect and compile committee meeting minutes for Board review packets.
- Record and maintain accurate Board meeting minutes.
- Coordinate the schedule for all Chamber committee and Board meetings.
- Support election preparation, including collecting bios, managing ballots, and facilitating voting processes.
Administrative Support to the Executive Director:
- Manage the Executive Director’s schedule and coordinate daily/weekly check-ins to review priorities, projects, and progress.
- Provide support for invoicing, including annual renewals, program fees, and event-related billing.
- Assist in addressing past-due member accounts.
- Professionally resolve member and customer inquiries or concerns.
Qualifications:
Education and Experience:
- Associate or bachelor’s degree in Advertising, Business, Marketing, Public Relations, or a related field preferred (equivalent work experience may substitute).
- Previous experience in a non-profit organization is highly desirable.
Skills and Abilities:
- Strong multitasking and organizational skills.
- Ability to handle sensitive information confidentially.
- Excellent public relations and communication skills, both written and verbal.
- Proficiency in office technology, including Adobe PDF, Canva, Constant Contact, Excel, JotForm, Microsoft Word and SurveyMonkey, as well as the Chamber’s current CRM platforms.
- Experience with social media content creation and marketing strategies.
- Strong writing, proofreading, and editing skills.
Work Environment:
This position is based at our office located at 903 S Wayne St, Angola, IN 46703. The role offers a dynamic and fast-paced environment where adaptability is key. You’ll manage multiple responsibilities and have the opportunity to collaborate with a diverse group, including Chamber members, board members, volunteers, and the broader business community. Flexibility is essential, as very occasional evenings and weekends may be required to support events or special projects.
