What are the responsibilities and job description for the Clinic Director position at Animal Alliance of Greater Syracuse?
JOB SUMMARY: Responsible for creating and implementing the strategic objectives of the organization as well as overseeing the clinic office operations. Recruits and supervises all staff and volunteers.
WORKING RELATIONSHIPS: Works closely with all staff, including veterinarians, vet technicians, volunteers, and board of directors
ESSENTIAL JOB FUNCTIONS:
Clinic Operations
1. Oversees all office operations including but not limited to:
- Scheduling
- Record keeping including rabies certificates, go-home paperwork, medical files, accounts receivable and payable, and inventory and ordering of all supplies
- Check in and check out
- Liaison with and training of transport partners
2. Balances cash drawer at the end of the day and makes deposit
3. Ensuring continuing education about best practices and regulations in the veterinary field
Program Development and Delivery
1. Develops a long-range strategy which achieves the agency mission, and toward which it makes consistent and timely progress
2. Provides leadership in developing program and organizational plans with the board of directors in accordance with the values of the organization
3. Conducts research and submits applications for grants that align with the clinic's mission and goals
4. Develops and manages fundraising campaigns that support the clinic's mission and objectives
5. Keeps up-to-date with key developments and trends in the field of high-volume spay and neuter and applies this knowledge effectively
Administration and Human Resource Management
- Recruits, and in conjunction with a member of the board of directors, interviews potential staff members
- In conjunction with a member of the board of directors, makes decisions regarding dismissal of an employee
- Maintains records of employee hours worked and compiles same for submission to payroll company
- Maintains a climate which attracts, retains, and motivates a diverse staff of top-quality people in accordance with the values of the organization
- Ensures that job descriptions are developed, and that regular performance evaluations are conducted and documented
- Ensures compliance with personnel policies and state and federal regulations on workplaces and employment
- Ensures that employees are licensed and credentialed as required, and that appropriate background checks are conducted
- Develops a program to recruit diverse and quality volunteers and ensures that policies and procedures are in place to maximize volunteer involvement
Community Relations
- Maintains and encourages compassionate, non-judgmental relationships with both client and community members
- Ensures adequate control and accounting of all funds, including developing and maintaining sound financial practices
- Works with the board in preparing a budget; sees that the organization operates within budgetary guidelines
- Maintains official records and documents, and ensures compliance with federal, state, and local regulations and reporting requirements (such as annual information returns; payroll withholding and reporting; confidentiality, etc.)
- Executes legal documents appropriately
- Assures that funds are disbursed in accordance with contract requirements and donor designations
Board of Directors
- Serves as the clinical, clerical and volunteer staff’s liaison with the board
- Ensures that the board is kept informed on the condition of the organization and all-important factors influencing it in a timely manner
- Provides a written report to the board quarterly and a financial report monthly
- Presents a proposed budget to the board in September; works with the board to have an approved budget in place by January 1
- Presents an end-of-year summary report to the board at the January meeting including statistics, benchmarks, and projections/strategic plan

Pay: $65,000.00 - $90,000.00 per year
