Position Overview:
We are seeking a compassionate and organized Veterinary Receptionist to join our team and provide exceptional customer service to our clients and their beloved pets. Key Responsibilities:
1. Client Interaction:
- Greet clients and their pets warmly and professionally, ensuring they feel valued and comfortable.
- Schedule appointments, surgeries, and follow-up visits while efficiently managing the clinic's appointment system.
- Answer phone calls, addressing inquiries, providing information, and handling emergencies with empathy and efficiency.
2. Administrative Support:
- Maintain accurate and up-to-date client records, ensuring all necessary information is recorded correctly in the clinic's software system.
- Process billing and payments accurately, providing clients with clear explanations of charges and payment options.
- Assist in preparing and organizing medical records, lab reports, and other documentation.
3. Patient Care Coordination:
- Assist veterinarians and veterinary technicians in managing patient care by scheduling appointments, surgeries, and follow-up visits.
- Coordinate prescription refills, ensuring timely communication between clients and the veterinary team.
- Maintain inventory of pet care products, ensuring availability for purchase by clients.
4. Client Education:
- Provide basic information about pet care, vaccination schedules, and other routine procedures to clients both over the phone and in person.
- Assist in distributing educational materials and resources to promote responsible pet ownership.
5. Facility Management:
- Keep the reception area clean, organized, and well-stocked with informational brochures, forms, and pet care products.
- Coordinate with maintenance staff to address any issues that may arise in the reception area.
Qualifications:
- High school diploma or equivalent; additional education or certification in veterinary assisting or a related field is a plus.
- Previous experience in customer service or reception, preferably in a veterinary clinic or medical setting.
- Excellent communication skills, both verbal and written, with the ability to convey information clearly and empathetically.
- Strong organizational skills and attention to detail, ensuring accurate record-keeping and appointment management.
- Proficiency in using computer software and electronic medical record systems.
