Activities Office Manager
Purpose Statement
The purpose of the Activities Office Manager is to provide comprehensive administrative support to the high school’s athletic and extracurricular programs, ensuring efficient operations and fostering a positive environment for student engagement. This role is essential in coordinating schedules, managing business office procedures, managing communications, and facilitating events that promote teamwork, sportsmanship, and personal growth among students. By collaborating with coaches, staff, and community members, the Office Manager enhances the overall experience of student-athletes and participants, helping to cultivate a vibrant and inclusive school culture.

Minimum Qualifications:
- Bachelor’s degree with an emphasis in public relations, education, communication, community education, business administration, human resources or related field or equivalent experience.
- Five (5) or more years of experience in office management in a diverse urban setting.
- Proven experience in office management or administrative support, preferably in an educational setting.
- Strong organizational skills with the ability to manage multiple tasks and prioritize effectively.
- Excellent communication and interpersonal skills.
- Proficient in Microsoft Office Suite and Google Suite.
- Strong understanding of business office skills, including cash handling and receipting.
- Strong Social Media skills.
- Knowledge of school policies, procedures, and relevant regulations is a plus.
Essential Functions
Administrative Support
- Manage day-to-day office operations, including scheduling, correspondence, and record-keeping.
- Prepare and maintain school records, reports, and documents in compliance with district policies.
- Provides a variety of complex written materials (correspondence, agendas, minutes, reports, etc) for purposes of communicating information and/or creating documentation in compliance with established guidelines.
Communication
- Serve as the primary point of contact for parents, students, staff, and the community.
- Facilitate effective communication between the administration and stakeholders, addressing inquiries and concerns promptly.
- Assists in the management of all Activities Office Social Media Accounts.
- Prepares accurate written communication in proper format and with efficiency.
Financial Management
- Assist with building principal and activities director with budget preparation and monitoring.
- Manage the building requisition process, purchase orders and tracking expenditures for all aspects of the school campus.
- Oversee the collection and recording of student fees, activity and event cash needs, receipting, cash handling, and other financial transactions.
Human Resources Support
- Assist in the hiring process, including scheduling interviews and maintaining personnel records.
- Support staff onboarding and training processes.
Event Coordination
- Organize and coordinate school events, meetings, and activities.
- Manage logistics, including venue setup, bussing, catering, and materials preparation for activity and school events.
- Attend and work assigned events.
Office Management
- Ensuring efficient workflow and collaboration within the Activities Department.
- Interprets procedures to other departments and offices and is able to design and lead new, more efficient procedures.
- Maintain inventory of office supplies and manage procurement processes.
Compliance and Reporting
- Ensure compliance with school policies and regulations.
- Assist with data entry and reporting for state and federal programs.
- Assembles complex data and information and prepares reports for local, state and federal program needs.
Technology Management
- Maintain school office technology, including computers, printers, and phone systems.
- Provide basic technical support and troubleshoot minor issues.
Other Functions
- Collaborate and build a strong working relationship with all stakeholders.
- Participates in a variety of meetings, workshops, and/or trainings for the purpose of providing or receiving information, recording minutes, and supporting the needs of attendees.
- Foster an environment where employees and the employer work collaboratively together.
- Facilitate and oversee committee meetings, as assigned.
