    POSITION TITLE: Operations Manager

    FTE: 1.0

    Salary range: $70,224-73,350

    Bargaining Unit: ASCSA

    POSITION SUMMARY:
    The Finance and Operations Manager oversees efficient financial and operational processes, enabling Rec & Ed to effectively fulfill its mission of serving both the school district and the broader community. The Manager’s scope of responsibilities includes financial monitoring, reporting, and planning of the department’s annual budget and oversight of operations such as facility rentals and department software systems. The Manager supervises four operations staff in the Administrative area of Rec & Ed. As a member of the Rec & Ed Management Team, the Assistant Director collaborates closely with the Director, Executive Director, and program managers.

    QUALIFICATIONS:
    • Bachelor’s degree in finance, business, education, recreation, or related field.
    • Five or more years of experience managing budgets of at least $1 million
    • Three or more years of providing operational oversight for facilities, software programs, and/or other operations
    • Three or more years of experience leading teams and supervising multiple staff.
    • Excellent interpersonal and communication skills to work harmoniously and effectively with the public, Rec & Ed participants, co-workers and personnel from other school district offices.
    • Strong understanding of financial systems, accounting principles, and budgeting processes.
    • Proven track record in financial management, including monthly monitoring, purchasing, generating reports, and assisting with annual budget development,.
    • Proven ability to problem solve and manage multiple tasks in a fast-paced environment.
    • Experience using continuous improvement tools and strategies to make systems improvements
    • Comfort with data analysis and reporting using enrollment, budget and customer satisfaction data.
    • Excellent organizational and written and oral communication skills.
    • Ability to use Google suite and Microsoft Office products, web-based software and social media platforms.

    DUTIES AND RESPONSIBILITIES:

    Financial
    • Work with key Rec & Ed and AAPS finance department staff to create, monitor, problem solve, and report on Rec & Ed’s annual budget.
    • Lead internal budget/finance committee that monitors and recommends action on the budget
    • Ensure compliance with school district and department financial policies and processes
    • Prepare monthly, quarterly, and year-end financial documents and reports.
    • Provide training and support to new and continuing staff regarding district and department financial procedures

    Operations
    • Directly supervise 4-5 operations staff within Administrative Division
    • Provide guidance and support to Rec & Ed divisions in financial and operational matters.
    • Develop survey/feedback systems as needed
    • Implement process improvements and streamline operations across various departments.

    Family Rental Program
    • Collaborate with the Director and operations staff to oversee the Facility Rental Program (reservations and rentals of elementary and middle school facilities during non-school hours)
    • Oversee the Rec & Ed seasonal gym rental program and the rental of City of Ann Arbor ball diamonds.
    • Collaborate regularly with district Physical Properties, City of Ann Arbor Parks Department, and other entities.
    • Problem-solve facility use for Rec & Ed programs as needed.

    Software Liason and Management
    • Serve as department lead and liaison to Rec & Ed’s registration software companies.
    • Work with the Director to provide staff training for and monitoring of current software programs
    • Assist in planning, decision-making, and problem solving related to software programs

    Departmental Leadership/Management Team
    • Actively participate on the Rec & Ed management team, including problem solving, decision making, and planning.
    • Participate on department committees as needed/assigned

    Other
    • Comply with department and district policies and procedures
    • Collaborate with other Rec & Ed divisions and all levels of school personnel
    • Fulfill other duties as assigned

    LANGUAGE SKILLS:
    Read, write, and comprehend basic instructions, short correspondence, and memos
    Effectively present information in one-on-one and small group situations to staff, parents, students, and administrators
    Communicate clearly and concisely both orally and in writing

    MATHEMATICAL SKILLS:
    Add, subtract, multiply, and divide in all units of measure using whole numbers, fractions and decimals

    REASONING ABILITY:
    Apply common sense understanding to carry out instructions given in written, oral, or diagram form
    Deal with problems involving a few concrete variables in standardized situations

    OTHER SKILLS and ABILITIES:
    Work with parents and children of diverse cultural backgrounds
    Develop effective working relationships with students, staff, and the school community
    Perform duties with awareness of all district requirements and Board of Education policies

The employee is directly responsible for safety, well being, or work output of other people. Specific vision abilities required by this job include close vision such as reading handwritten or typed material, and the ability to adjust focus. The position required the individual to meet multiple demands from several people and interact with the public and staff.
