What are the responsibilities and job description for the Front Desk Administrator position at Ann Arbor SPARK?
Ann Arbor SPARK is Ann Arbor’s economic growth engine, working with companies of all sizes to help them succeed. We’re seeking someone to help welcome and coordinate our front desk at SPARK’s downtown Ann Arbor headquarters – the entry point into SPARK.
The Front Desk Administrator will play a key role in fostering a welcoming environment for all who visit or work at SPARK, ensuring they receive excellent service and support. This position reports directly to the SVP of Entrepreneur Services and will support the SPARK staff overall.
Key Deliverables of this position :
- Welcome guests, clients, and staff in a friendly and professional manner, providing exceptional customer service and fostering a supportive, collaborative environment.
- Cover front desk operations, including assisting tenants, clients and guests, answering phones, responding to emails, providing accurate information, sharing resources, and maintaining security by following company safety and security procedures.
- Support the SVP of the Entrepreneur Services Team (ES) with his schedule, assist in organizing the ES team meetings, ensure team coordination and delivery of assignments, make recommendations for team effectiveness, as well as other delegated tasks.
- Maintain regular communication with tenants, including managing the tenant Slack channel, addressing needs, gathering feedback, and ensuring a positive experience.
- Keep the lower-level event space, reception, and kitchen areas organized, clean, and presentable.
- Assist the Incubator Coordinator with monitoring and tracking supply levels, anticipating needs, and conducting a weekly inventory to prepare for supply orders.
- Provide backup to the Incubator Coordinator for facilitating tours of the incubator space, highlighting benefits, policies, and services to prospective clients and guests.
- Manage conference room scheduling for tenants and partners using our scheduling software
- Assist with managing tenant contracts and onboarding new tenants including setting up key cards, printer access, Wi-Fi, and other essentials.
- Help track tenant desk occupancy and availability, providing regular reports to the ES Director to inform decisions about space allocation and marketing strategies
- Assist with event coordination, including set-up, on-site coverage, and post-event tasks when appropriate.
- Update guest welcome banner daily and replenish marketing materials as needed.
- Sort mail daily and assist with package distribution to clients, including receiving packages for SPARK Marketing and internal staff, unpacking and labeling contents for inventory purposes, and communicating delivery updates to the relevant recipients.
- Make coffee, refill snacks, and perform other duties as assigned to maintain a welcoming and functional workspace.
- Support the entire SPARK staff where needed.
