General Summary:
Under direct supervision provides indirect patient care for the peri-operative department. Schedules operative, invasive, diagnostic, radiographic, and any other procedure performed in the facility. Records statistics as requested. Main focus on insurance verifications. Performs all secretarial duties as requested and maintains communication lines for the department.
Physical and Mental Effort:
Physical demands include prolonged sitting and viewing of the screen. Repetitive motion, ability to deal with stressors associated with patient care, urgent/emergent care. Ability to lift and move up to 25 lbs.
Environmental and Working Conditions:
Fast paced work environment based on elective and acute/urgent situations requiring surgical intervention. Probability of overtime. May rotate within the peri-operative department.
Job Qualifications:
Education: High School Graduate or Equivalent. Understanding of Medical Terminology.
Certifications: Basic Cardiac Life Support (Preferred)
Skills: Basic secretarial skills, basic computer knowledge and ability to type 40 words per minute (Wpm). Demonstrates organization, self-motivation, good communication and interpersonal skills. Good communication and interpersonal skills.
Experience: 2 years of experience as a Administrative Assistant or Office Administrator.
Typical Duties and Responsibilities:
· Demonstrates the ability to interact professionally with physicians, patients/family staff members, and others. Responds to inappropriate behavior in a therapeutic manner.
· Obtains RN when family requests communication regarding patient's condition, beyond the AA's scope of practice.
· Orders office supplies and other supplies and equipment as requested. Checks in supplies and places items on cart to be put away by responsible staff person. Handles delivery of mail daily.
· Learn and effectively utilize the medical information system. This includes a responsibility of being detail oriented and inputting information correctly into the system.
· Schedules all surgeries, procedures, into ASC by physicians or physicians' offices.
· Verifies all patient benefits to ensure procedure coverage and constantly and effectively communicates with the billing department. Assists billing department in obtaining all the necessary benefit information required.
· Organizes and prepares the surgery and schedules for the following day and delivers to appropriate departments. Notifies nurse manager and anesthesia of any changes in surgery schedule.
· Enters the surgical record and/or secondary data collection sheets into the computer for the purpose of generating reports and statistics. Tracks patient charges.
· Collects co-pays, coinsurance, balances.
· Verify benefits and coverage for office visits and surgical procedures.
· Obtain referrals and authorizations prior to the service, verifying insurances in advance prior to service and ensuring any last-minute services have been authorized.
· Obtain pre-authorization from insurance carriers in a timely manner, review denials, and follow up with provider to obtain medically necessary information to submit an appeal, and prioritize the incoming authorizations by level of urgency.
· Answers telephone in a polite manner and communicates information to appropriate personnel. Takes and records messages and communicates with appropriate medical staff. Establishes and maintains effective communication and good working relationships with co-workers.
· Utilizes initiative; strives to maintain steady level of productivity; self-motivated. Makes decisions reflecting knowledge of facts and good judgment, within the AA's scope of practice.
· Organization and management of AA's activities reflect due consideration for the needs of Surgical Staffing Resources and staff.
· Demonstrates flexibility in shift start and end times depending upon surgical schedule.
· Abler to perform light housekeeping duties if necessary.
· Maintains accountability for identifying self-deficits and for up-dating knowledge and skills required to perform their responsibilities.
· Ensures confidentiality of patient's records.
