We are searching for a friendly, professional, and organized person to manage and support our Business Support Team. This team works together in maintaining and improving all the administrative processes that support an efficient, well run, and profitable company. Whether you are delegating administrative responsibilities to the business support team, providing timely data to our senior management, or ensuring office processes are optimized and adhered to, these are all important tasks of making our office run smoothly.
Essential Duties and Responsibilities
- Manage, optimize, and document administrative processes including office operations, shipping, and receiving for the company
- Train, manage, and support all members of the business support team
- Collaborate with senior management to develop and execute strategic initiatives, ensuring alignment with organizational goals
- Oversee special projects from planning to execution, ensuring timely delivery and successful outcomes.
- Review shipping reports to keep team informed on shipments that can be prepared and processed
- Support team as needed in preparing, packing, and shipping our products to our customers
- Support team as needed in preparing, packing, and shipping products to vendors
- Support team as needed in receiving and distributing incoming packages and mail
- Support team as needed in handling the receiving and processing of production parts and inventory
- Manage business support team to ensure upkeep of office morale through maintenance of coffee machines, keeping office public areas tidy, and distributing acknowledgements of special events in employees’ lives
- Oversee ordering and organization of the office supply needs for employees
- Oversee ordering and organization of the kitchen supplies including snacks and drinks for employees and customers
- Assist other employees with questions and clerical tasks as needed
- Oversee scheduling, procuring lunches, and room organization before and after on-site classes
- Oversee business support team pick-up and/or delivery of equipment and products to our employees and vendors
- Manage building maintenance requests
- Oversee the management of files and record keeping
- Review company-wide memos to be sent by business support team
- Oversee booking of travel arrangements for customers and employees
- Supervise the set up and cleanup of company lunches
- Assist with employee timesheet entry as needed
Requirements
- Minimum Bachelor's Degree
- Experience with the Microsoft Office Suite
- Ability to lift 20 lbs.
- Has received, or is willing to receive, a government-mandated vaccine
- U.S. Citizenship
Desired Background
- 3-5 years of experience in an office environment
- Experience with answering multi-line phone system
- Familiarity with email
- Familiarity with database systems
Salary : $85,000 - $120,000
