Job Summary:
Ageless Health Institute, a busy Anti-Aging Wellness Clinic & Medspa, is seeking a dedicated, professional, and enthusiastic Medical Assistant to join our team. Our practice specializes in Bio-Identical Hormone Replacement Therapy, weight loss, anti-aging/regenerative medicine, aesthetics, laser treatments, injectables, and more. Duties and Responsibilities:
Patient Interaction and Support
- Welcome patients and visitors warmly, ensuring they feel comfortable and well-informed about their visit.
- Direct patients and visitors to appropriate locations and services with courtesy and professionalism.
- Collect and post fees in accordance with established protocols, ensuring accurate handling of payments.
- Assist patients by providing relevant information, answering questions, and addressing concerns.
- Secure patient information and maintain confidentiality in accordance with HIPAA and clinic policies.
Administrative Responsibilities
- Provide efficient and professional telephone services; transfer messages accordingly.
- Receive incoming faxes and distribute them to correct individuals.
- Schedule appointments, upload test results to the patient portal, and prepare charts, consent forms, and pre-admission documentation.
- Maintain patient information and accurate medical records, complete diagnostic and procedure coding, and ensure patient information remains confidential.
Clinical Support
- Assist physicians with office procedures, including applying numbing ointments and preparing patients for treatments.
- Efficiently manage and organize medical supply inventory by tracking stock levels, placing orders when necessary, and verifying deliveries.
- Verify patient information by interviewing patients, recording medical history, and confirming purpose of visit.
- Perform preventive maintenance on medical equipment and coordinate repairs as necessary.
Clinic Operations & Compliance
- Contribute to a safe, secure, and healthy work environment by following established standards and procedures.
- Ensure compliance with all federal, state, and local regulations as well as clinic policies.
- Proactively identify opportunities to improve patient care and enhance clinic efficiency.
Team Collaboration & Continuing Education
- Enhance expertise by participating in educational opportunities and reading professional publications.
- Collaborate effectively with team members, promoting a supportive and respectful work culture.
- Represent the clinic positively by taking ownership of tasks and embracing opportunities to improve.
Qualifications/Skills:
- Strong verbal communication and customer service abilities.
- Experience in inventory management, infection control, and creating safe, effective environment.
- Exceptional organizational skills with a focus on scheduling and organization.
- Professional demeanor and commitment to confidentiality and patient care.
- Ability to work collaboratively in a medical team, demonstrating flexibility and adaptability.
Education, Experience, and Licensing Requirements:
- 2 years in a medical office
- Experience with EMR (electronic medical records), medical terminology
- Previous experience in a HRT clinic preferred
Salary and Benefits:
- Base Salary: $60,000–$65,000 (DOE).
- Paid Holidays: 5 annually.

Schedule:
- Full-time: Monday–Friday, 8:45 AM–5:15 PM
