Annie Wright is seeking a Payroll Clerk to begin immediately. This is a benefited 0.50 FTE hourly position and reports to the Director of Finance. The hours for this position are currently 8:30 am - 5:00 pm (with a 30 minute meal period). Days are flexible, to be discussed with finalist candidate.

Position description
The Payroll Clerk brings strong organizational skills, sharp attention to detail, and a deep desire for timeliness and accuracy to the payroll process. The Payroll Clerk ensures hourly and part-time staff, and their managers, have a clear and full understanding of the timesheet process, and works to support them in timely submission. The Payroll Clerk is knowledgeable about and utilizes the HRIS system to ensure accurate and timely processing of all relevant payroll information and to maintain detailed employee payroll records, including time sheets, time-off, pay change data, benefit updates, and W-2 updates, among others. Additionally, the Payroll Clerk has a strong understanding of payroll regulations both at a state and federal level to ensure the school’s compliance with all relevant laws.

Position overview: duties & responsibilities
The Payroll Clerk will be responsible for the following:
- Processes and verifies timesheets within HR Information System (HRIS) on a monthly basis for hourly and part-time staff.
- Administers and ensures accounting and payroll related controls are being followed.
- Liaises with the Director of Finance to ensure accurate reconciliation of information for payments.
- Provides assistance to employees and their supervisors regarding the timesheet process.
- Completes reconciliations of several different payroll processes.
- Maintains payroll information by collating, calculating, and entering pay change data upon approval of Director of Finance.
- Updates and enters employee information and changes into HRIS.
- Updates payroll records by entering any changes to employee information or benefits such as job title changes, exemptions and saving deductions.
- Processes vacation hours and manually inputs this information into the payroll system, if needed.
- As necessary, prepares payroll reports for internal and external parties, including annual audits, payroll related surveys, and account reconciliations.
- Assists HR Manager and Director of Finance on special projects and end-of-year processes, as needed.
- Manages and responds to general inquiries in the payroll email in-box in timely manner.
- Ensures that the confidentiality and security of all information is maintained.
Qualifications
The Payroll Clerk will demonstrate key elements of the listed expertise and experiences. This is an aspirational list and Annie Wright Schools encourages candidates to apply who may not currently possess, but are working on building, all of these qualities. The Payroll Clerk:
- Has a minimum of five years’ payroll processing experience.
- Is highly proficient in computer skills and technology.
- Demonstrates a strong proficiency and experience with payroll systems and the Microsoft Suite, with mid-level experience with Microsoft Excel required.
- Practices cultural humility in personal interactions.

Salary & benefits
This position offers an hourly rate of $30 per hour. Benefits available to the hired candidate for the Payroll Clerk position include the following, subject to the terms of the applicable benefit plan:

- Paid sick leave (known as Wellness Days): Each regular full-time employee earns 80 hours of Wellness leave per accrual year, prorated by FTE.

- Eighteen (18) paid Holidays in 2025. Holidays prorated by FTE.
- Tuition remission in accordance with school policy. All fees and incidental expenses are the sole responsibility of the employee-parent. Prorated by FTE.
- All children of benefited employees of AWS, who are currently enrolled at AWS, are eligible for extended day services at no charge when school is in session. Charges apply for faculty in-service days or similar days
- A 403(b) retirement plan with a 6% company match with a 3% employee contribution
