Secretary Lead - Class C - PURCHASING DEPARTMENT
Full-Time 260 days/8 hrs/day
Lead Secretary for Purchasing
Provide support for the Purchasing Director and the Purchasing Department.
Duties: Provide support to the Purchasing Director. Assist with writing bid/quote specifications using a computerized purchasing/accounting/inventory system. Assist with training district staff on the Skyward computer system and purchasing processes. Conduct informal requests for quotes. Review purchase orders and contracts. Maintain information and records using spreadsheets, word processing, databases; meet with vendors and district personnel to assist with securing sources for district and departmental purchases. Assist in developing contracts. Manages the creation and routing of service contracts. Process furniture and other commodity purchases and assist district staff with office design. Develop solicitation documents, advertisements, website releases, tabulations, and required retention files. Work directly with Accounts Payable to resolve invoicing issues. Work directly with stakeholders to ensure contract compliance. Other clerical duties as assigned.
Minimum Qualifications: High school diploma or equivalent, the ability / desire to use computer for word processing, record keeping and information retrieval, good oral and written communication and organizational skills, accuracy and attention to detail, flexibility, ability / desire to work cooperatively with departments, district staff and public, ability to maintain regular attendance, which includes completing an assigned day, must be able to lift a minimum of 25 pounds and the ability to perform position responsibilities including physical factors, work devices and materials handling, data functions, and people functions. Must be physically working in the building.
Preferred Qualifications: Knowledge of Public Purchasing law and its general application to school district purchasing and bid procedures preferred. Experience writing bid/quote specifications and evaluating products/services preferred. Detail oriented with ability to multi-task in a busy and diverse environment preferred. Excellent customer service skills preferred. Working knowledge of Excel, Word, Skyward, Gmail, and Internet preferred. Ability to work independently preferred.
Rate of pay: $22.65 to $28.75/hour.View additional terms and benefits here.
