Summary:
The Accounts Payable Specialist is responsible for the timely and accurate processing of vendor purchase orders, invoices and payments. This role plays a critical part in the company's financial health by ensuring that all obligations to vendors are met while maintaining strong internal controls.
Essential Duties and Responsibilities:
- Invoice Processing:
- Receive, review, and verify invoices for accuracy and completeness.
- Match invoices to purchase orders and receiving documents.
- Code invoices to appropriate general ledger accounts.
- Enter invoices into the accounting system.
- Resolve invoice discrepancies with vendors.
- Vendor Payments:
- Prepare and process check runs or electronic payments.
- Maintain accurate vendor records.
- Research and resolve vendor inquiries.
- Reconciliations:
- Reconcile vendor statements to ensure accurate payment records.
- Assist with month-end and year-end closing procedures.
- Other Duties:
- Create & Distribute Purchase Orders / Subcontracts to vendors.
- Maintain and Manage Subcontractor Insurances.
- Assist with special projects as needed.
- Maintain accurate records and documentation.
- Ensure compliance with all relevant accounting policies and procedures.
- Internal Controls:
- Identify and help mitigate potential risks within the accounts payable process.
Qualifications:
- High School Diploma or equivalent required; Associate's or Bachelor's degree in Accounting or Finance preferred.
- 1-3 years of experience in Accounts Payable.
- Strong understanding of accounting principles.
- Proficiency in Microsoft Excel (including VLOOKUP, pivot tables, etc.).
- Experience with accounting software (e.g., Sage Timberline) preferred.
- Excellent communication and interpersonal skills.
- Strong attention to detail and accuracy.
- Ability to work independently and as part of a team.
- Strong organizational and time-management skills.
