Primary Purpose of Position:
Performs a variety of administrative duties to support assigned attorneys. Maintains positive contact with clients and observes confidentiality of client matters.
Essential Functions and Responsibilities:
Creates, types, edits, and compiles documents and correspondence, including email and faxes.
Creates and maintains office files, logs and any other information in relation to the work of the attorney.
Responds to and assists clients by answering questions, providing information and assuring appropriate follow-through and/or resolution.
Answers phones and provides information in response to telephone calls.
Prepares and maintains electronic and hardcopy files. Scans and stores documents according to defined procedures.
Ensures the effective delivery of outgoing messenger deliveries and overnight deliveries.
Prepares engagement letters and assists with opening new matters.
Manages and maintains calendar for attorneys including client meetings, court dates and times and other appointments. Arranges for conference rooms as needed.
Reviews, sorts, date stamps and scans incoming mail.
Works with Legal Assistants, Paralegals and Administration to provide effective support to Firm.
Handles opening and closing of files and keeps files orderly.
Makes copies on a routine basis.
May perform notary duties.
Handles other duties as required.
Knowledge
High school diploma with minimum of 4 years related administrative experience within a law firm required (Personal Injury exp is preferred).
Skills
Computer proficient with working knowledge of MS Word and Excel required.
Must be highly organized, detail oriented with the ability to multi-task.
Working knowledge of Outlook and iManage or similar document management system required.
Keyboarding skills of 70 wpm or higher is required.
Ability to proofread typed material for contextual, grammatical, typographical or spelling errors.
Interpersonal skills are necessary in order to communicate in person, by e-mail and telephone.
Ability to operate standard office equipment such as computers, photocopiers, fax machines, and typewriters.
Salary : $50,000 - $60,000
