Essential Job Functions:
- In coordination with Supervisors and Safety Team, prepares for mass on boarding
- In coordination with approved supervisors, coordinates employee terminations
- Organize, compile and update company digital personnel records and documentation
- Maintain HR files and ensure their accuracy and completeness
- Manage and update HR databases various employee information, including new hires, terminations, PTO and time off requests, and other relevant updates.
- Collect, enter, and file time card records. Conducting audits for accuracy and completeness
- Communicate with field employees to obtain missing records and make necessary corrections
- Collaborate with department managers to identify and draft detailed and accurate job descriptions and hiring criteria
- Ensure compliance with federal, state, and local employment laws, regulations, and company policies
- Conduct background checks, Motor Vehicle Records (MVRs)
- Coordinate drug testing and manage the DMV pull program
- Handle union enrollments, requests for dispatches, status letters and liaison with field staff
- Assist with the company’s benefits enrollments, including 401k and vacation benefit
- Assist in the performance review process for employees
- Assist with payroll processing and certified payroll reporting when needed
- Verify employment status for current and former employees as required
- Perform other duties as assigned.
- Bilingual and biliterate; English & Spanish
- Associate degree, Bachelor’s Degree; or equivalent combination of education and experience.
- At least 5 years managing full cycle union on boarding/ off boarding
- Proven experience in HR administration or a similar role
- Strong knowledge of employment laws, regulations, and compliance requirements
- Excellent organizational and multitasking abilities
- Proficiency in Vista Viewpoint software and Microsoft Office Suite
- Strong attention to detail and accuracy in data entry and record-keeping
- Excellent communication and interpersonal skills
- Ability to work effectively both independently and collaboratively within a team
- Discretion and confidentiality in handling sensitive employee information
- Flexibility to adapt to changing priorities and deadlines
- Certification in HR management (e.g., SHRM-CP, PHR) is a plus
