POSITION PURPOSE:
Responsible for providing excellent customer service by receiving all calls and routing, greeting, assisting and/or directing all clients, maintaining the ground floor / main floor area, ordering various supplies and performing various clerical duties.
ESSENTIAL FUNCTIONS:
- Receive all incoming calls and route to appropriate staff.
- Work the reception area, greet all incoming clients and assist and/or direct to appropriate staff.
- Maintain the appearance and organization of ground floor area, with the exception of team member offices.
- Order copy room paper and supplies, press room supplies, custodial supplies and other office supplies as needed.
- Restock copy machines.
- Coordinate courier pick-up and delivery.
- Other general office duties including filing and mail distribution.
- Assist Media Department with invoicing, placement and production orders.
- Other duties as assigned.
Requirements
QUALIFICATIONS:
- Proven experience as an Administrative Assistant, Virtual Assistant, or Office Admin Assistant.
- Knowledge of office management systems and procedures.
- Working knowledge of office equipment, like printers and fax machines.
- Solid understanding of basic design, print, and web terminology is a MUST.
- Solid understanding of web administrative tools such as Wordpress, Facebook, Instagram, and Tiktok.
- Proficiency in MS Office (MS Excel and MS PowerPoint, in particular).
- Comfortable within an all Apple or Mac environment.
- Excellent time management skills and the ability to prioritize work.
- Attention to detail and problem solving skills.
- Strong verbal skills, particularly with the public.
- High School degree; additional qualifications as an Administrative Assistant or Secretary will be a plus.
