Job Summary
We are seeking a flexible, highly organized and detail-oriented Office / Front Desk Manager to join our team. The ideal candidate will play a pivotal role in ensuring the smooth operation of daily administrative / front desk tasks, supporting management, and maintaining an efficient and positive work environment.
The work schedule is from 8 a.m. to 4 p.m. on Sunday, Monday, Thursday, Friday, Saturday.
This is a full-time position with opportunities for growth within our AOAO property.
Duties
- Administrative Support: Perform general administrative tasks, including managing correspondence, scheduling meetings, and organizing documents.
- Office Management: Maintain office supplies, equipment, and facilities to ensure a productive workplace.
- Communication: Act as the first point of contact for the residents, guests, vendors, and team members, providing excellent customer service.
- Data Management: Manage and update records, spreadsheets, and databases with accuracy and confidentiality.
- Calendar Coordination: Schedule / manage appointments, meetings, and travel arrangements when necessary
- Document Preparation: Prepare various notices, forms, invoices and other documents as needed.
- Project Assistance: Provide support for special projects, ensuring timelines and deliverables are met.
- Problem-Solving: Proactively address and resolve administrative challenges as they arise.
Qualifications
- Education: High school diploma or equivalent required; associate or bachelor's degree preferred.
- Experience: At least 1 year of experience in an administrative management role or related field.
- Skills:
- Proficient in Microsoft Office (Word, Excel, PowerPoint, Outlook) and/or Google.
- Excellent organizational, multitasking, and time-management skills.
- Strong written and verbal communication skills.
- Ability to maintain confidentiality and professionalism.
- Exceptional attention to detail and problem-solving abilities.
